Add Capsule CRM contacts once, to the right organization
For sales teams who want new people in Capsule CRM without the duplicate search, just by asking their AI assistant.

Connect Capsule CRM, pick your AI tool and paste the prompt.
The problem
Every new contact starts with a duplicate hunt
Before you can add a person to Capsule CRM you have to search for them, find or create their organization and pick an owner. Miss one check and you get two records for the same person, or a contact attached to nobody.
Without PopdockAI
- Search Capsule CRM by name, then again by email
- Look up the organization and create it if it is missing
- Find the right owner in the user list
- Merge the duplicates that still slip through
With PopdockAI
- Duplicate checks by email and name run before anything is written
- The organization and owner are matched to real records
- You see the exact record and confirm before it is saved
- The new contact is read back so you know it landed
The prompt
Use this prompt
Copy it into any AI tool connected to PopdockAI. Swap the values in braces for your own.
**Objective:** Add `{person-name}` as a person in Capsule CRM, with email `{email}`, working at `{organization-name}`, owned by `{owner-name}`. Any of the last three may be blank.
**Step 1: Check for duplicates**
* If {email} is given, call `capsule-crm-get-party` with email = {email}.
* Call `capsule-crm-get-party` with name = {person-name}.
If either returns a record, show it (name, organization, email, owner, party-id) and stop. Ask whether this is a different person before going on.
**Step 2: Resolve the organization (only if {organization-name} is given)**
Call `capsule-crm-get-party` with name = {organization-name}. Keep only rows whose type is organization.
* One match: use its party-id as the organisation-id.
* Several: list them and ask.
* None: propose creating the organization as well, and include that in the confirmation.
**Step 3: Resolve the owner (only if {owner-name} is given)**
Call `capsule-crm-get-user` with name = {owner-name}. Keep the user-id. If no single user matches, list close matches from name.contains and ask.
**Step 4: Split the name**
Use the last word of {person-name} as last-name and the rest as first-name. If {person-name} is a single word or the split is unclear (such as "van der Berg"), ask.
**Step 5: Confirm**
Show exactly what will be created: the organization (if new), then the person with first name, last name, email, organization and owner. Wait for an explicit yes.
**Step 6: Write**
1. If the organization is new, call `capsule-crm-add-party` with type = organisation, name = {organization-name} and owner-id, then call `capsule-crm-get-party` with name = {organization-name} to get its party-id.
2. Call `capsule-crm-add-party` with type = person, first-name, last-name, email, organisation-id and owner-id.
**Step 7: Verify**
Call `capsule-crm-get-party` with email = {email} (or name = {person-name}) and report the stored record and its party-id.
**Rules & Guidelines:**
* The only write tool this prompt may call is `capsule-crm-add-party`: at most once for the organization and once for the person, after confirmation.
* Never modify an existing record. Do not call `capsule-crm-update-party`.
* Only pass fields the user supplied; do not invent a phone number, job title or tags.
**Validation:**
* If creating the organization fails, stop and do not create the person.Who it's for
One answer, three teams that use it
Sales reps
Log new people as you meet them
Add a contact from a call or event in one message, already linked to their company and owned by you, without searching Capsule CRM first.
Add Priya Shah, priya@contoso.com, to Capsule CRM under Contoso and make me the owner.
Sales managers
Give every new contact an owner
Add people and set the owner by name, so every contact has someone responsible from the start and nothing sits unassigned.
Add Tom Reyes from Fabrikam to Capsule CRM and assign him to Sam Patel.
Sales operations
Keep Capsule CRM free of duplicates
Every new person is checked by email and by name first, so the CRM stays clean without a regular merge clean up.
Add Dana Whitfield, dana@northwindtraders.com, to Capsule CRM, but check she is not already in there first.
