The problem

Nobody knows why products come back

Customer returns in Dynamics GP are spread across RMA headers and lines, and nobody has time to total them by reason, item and customer. Return rates need sales pulled separately, and old RMAs sit open unnoticed.

Without PopdockAI

  • Export RMA headers and lines and join them by hand
  • Total returns by reason, item and customer in a spreadsheet
  • Pull sales separately to work out a return rate
  • Miss RMAs that have sat open for weeks

With PopdockAI

  • Every RMA and line in the period is read for you
  • Returns are totalled by reason code, item and customer
  • Return rates are worked out for the ten most returned items
  • Open RMAs older than 14 days are listed, with nothing changed

Prompt
**Objective:** Explain customer returns entered between `{from-date}` (default 90 days ago) and `{to-date}` (default today) for `{customer-name}` (default all): why items come back, which items and customers drive it, and which RMAs are still open.

Pass `{company}` as `company` on every call (if it is empty, omit `company` and the default company is used). Pass a generous `max-records` (1000). If a result comes back with exactly that many rows, say the result may be truncated.

**Step 1: RMAs**

Call `dynamics-gp-get-srv-rma` with `entry-date.from` and `entry-date.to` (and `customer-name.contains` when given). Note `return-status`, `return-type`, `complete-date` and `service-call-number`.

**Step 2: RMA lines**

Call `dynamics-gp-get-srv-rma-line` with the same date range. Total `return-quantity` and `extended-price` by `rma-reason-code`, by `item-number` and by customer.

**Step 3: Return rate**

For the ten most-returned items, call `dynamics-gp-get-rm-sales-line-item` by `item-number` over the same period (widened to double the length before it, to catch the original sales) and compute returned quantity as a share of sold quantity.

**Step 4: Report**

* Returns by reason code (count, quantity, value), largest first.
* Top items with return rate.
* Top customers by return value.
* Open RMAs (no `complete-date`) older than 14 days: RMA, customer, status, age, linked service call.

**Rules & Guidelines:**

* This prompt is read-only. Do not call any tool whose name does not contain `get` (no add, update, note or email tools).

**Validation:**

* If no RMAs were entered in the period, say so and give the count of RMAs still open from earlier.

Who it's for

One answer, three teams that use it

Operations managers

See which items come back most

Return totals by item and reason show where a product or packing problem starts, without building a returns report.

Which items had the most Dynamics GP returns in the first half of the year, and what reasons were given?

Quality teams

Spot items with a high return rate

Return rates for the most returned items put a number on a quality concern, so you know which products to investigate first.

What is the return rate for our ten most returned items in Dynamics GP over the last quarter?

Customer service managers

Clear RMAs that are stalling

Open RMAs older than 14 days are listed with status and age, so nothing is left waiting while the customer chases you.

List any open Dynamics GP RMAs for Contoso older than two weeks and tell me their status.

How it works

What PopdockAI does when you ask
