The problem
The customers who need a call get buried in the aging
Building a collections list in Sage Intacct means exporting open invoices, aging them by hand and opening each customer for credit limits, payments and credits. Unapplied cash makes some look worse than they are, and the real priorities get buried.
Without PopdockAI
- Export open invoices from Sage Intacct
- Age them into buckets by hand
- Open each customer for credit, terms and payments
- Miss unapplied cash and call the wrong people
With PopdockAI
- Every open past-due invoice aged into 30 day buckets
- Customers ranked by what they owe, per currency
- Credit limit, terms, rep, last payment and open credits added
- Possible unapplied cash flagged and a next step suggested

**Objective:** Build a collections worklist of the customers with invoices at least {min-days-overdue} days past due as of {as-of-date}, ranked by overdue balance, covering the top {max-customers} customers. Defaults: 1 day past due, today, 20 customers.
**Step 1: Pull the overdue invoices**
Call `intacct-get-invoice` with `total-due.min` 0.01 and `due-date.to` set to the as-of date minus the minimum days overdue. Set `max-records` to 1000.
* Drop invoices whose `state` shows they are drafts or declined. They are not receivables yet.
* Use `total-due`, never `total-amount`. A partly paid invoice only owes its balance.
* If the call returns exactly `max-records` rows, the list is truncated. Say so in the report.
**Step 2: Age and group**
* Days overdue = the as-of date minus `due-date`.
* Buckets: 1-30, 31-60, 61-90 and over 90 days.
* Group by `customer-id` and total `total-due` per bucket, separately per `transaction-currency`.
* Rank customers by total overdue and keep the top ones.
**Step 3: Add context for each ranked customer**
* Call `intacct-get-customer` with `customer-id` for `credit-limit`, `term`, `customer-rep-name` and `total-due`. Flag the customer as over limit when `credit-limit` is above zero and `total-due` exceeds it.
* Call `intacct-get-ar-payment` with `customer-id` and `receipt-date.from` 60 days before the as-of date. Note the last `receipt-date`. A payment with `amount-due` above zero may be cash that was never applied, which makes the invoices look more overdue than they are.
* Call `intacct-get-ar-adjustment` with `customer-id`. An adjustment with `total-due` not zero is an open credit that may offset an overdue invoice.
**Step 4: Report**
Start with the as-of date, the total overdue per currency, and the number of customers and invoices.
Then one table, one row per customer: customer name, customer ID, rep, terms, 1-30, 31-60, 61-90, over 90, total overdue, oldest invoice number with its days overdue, last payment date, and flags (over limit, possible unapplied cash, open credit).
End with a recommended next action per customer: a reminder email, a phone call, escalation to the rep, or a credit hold for anything over 90 days or over limit. These are recommendations only.
**Rules & Guidelines:**
* This prompt is read-only. Do not call any create or update tool, in particular `intacct-update-customer` (which sets credit holds) or `intacct-create-order-entry-document`. If the user wants a customer put on hold, tell them to do that as a separate step.
* Never add amounts across currencies. Subtotal per `transaction-currency`.
* Pass dates to the read filters as YYYY-MM-DD.
* If the user names an Intacct company, pass it as `company` on every call; otherwise omit it.
**Validation:**
* If no invoices come back, say that no customer is overdue by the minimum number of days as of that date, and stop.
* If a customer lookup returns nothing, keep the row and mark its context as unavailable rather than dropping it.Who it's for
