The problem

Variance reports break on copy and paste

Finance partners copy budget and actual figures between NetSuite reports to work out variance, and the periods rarely line up. One paste slip or sign mix-up changes the answer, and nobody notices until the review.

Without PopdockAI

  • Export budget lines for the period
  • Pull ledger movement for each account
  • Line them up and work out variance by hand
  • Get the sign wrong on income accounts

With PopdockAI

  • Budget lines are read for the period, one account or many
  • Actuals are read as debits less credits, with the convention stated
  • Variance and variance percent are sorted by size
  • Accounts over by 10 percent are called out, ledger untouched

Prompt
**Objective:** Compare budget with actual ledger movement for {period}, optionally for one {account-number}.

**Step 1: Budget**

Call `netsuite-get-budget` with `period` set to {period} and, if given, `account-number`. Note `account-name`, `budget-amount`, `period-start-date` and `period-end-date`. If nothing returns, say no budget exists for that period and stop.

**Step 2: Actuals**

For each budgeted account (up to 25), call `netsuite-get-generalledger` with `account-number`, `date.from` set to `period-start-date` and `date.to` set to `period-end-date`. Actual is total debits less total credits; state this convention in the report.

**Step 3: Report**

A table of account, budget, actual, variance and variance percent, sorted by absolute variance. Mention accounts over budget by more than 10 percent. Note that the sign convention may need reversing for income accounts.

**Rules & Guidelines:**

* This is a read-only job. Do not call any tool whose name starts with netsuite-add- or netsuite-update-, and never change, create or delete a record.
* Report only what the tools return. Do not estimate or invent figures; if a total is needed, add up the rows you actually retrieved and say so.
* If a read returns the maximum number of rows, say the result may be truncated and suggest narrowing the filters.
* Dates are YYYY-MM-DD. Where an input is blank, use the default stated in the Objective.

**Validation:**

* If a read returns nothing, say so and stop rather than guessing.
* If an input is ambiguous, list the candidates and ask which one is meant.
