The problem

Duplicate deals and wrong stages throw off the forecast

Creating a HubSpot deal by hand means finding the company, checking nobody opened the same deal, and picking the right pipeline and first stage. A wrong stage or a duplicate deal skews the forecast.

Without PopdockAI

  • Search for the company and its open deals
  • Pick a pipeline and work out its first stage
  • Fill in the deal form by hand
  • Find the duplicate when the forecast looks off

With PopdockAI

  • The company is matched and similar open deals are checked
  • The pipeline and first open stage are resolved to real ids
  • You see every detail before anything is saved
  • The deal is created once, noted on the company and read back

Prompt
**Objective:** Create the deal `{deal-name}` for the company `{company-name}`, amount `{amount}` (default blank), in pipeline `{pipeline-name}` (default: the pipeline with the lowest display order).

**Step 1: Resolve the company**

Call `hubspot-get-companies` with `company-name.contains` = `{company-name}`. If none or several match, list them and stop.

**Step 2: Check for a duplicate**

Call `hubspot-get-deals` with `company-id` = the company's record-id and `deal-name.contains` = `{deal-name}`. If an open deal with the same or a very similar name exists, show it and ask whether to continue.

**Step 3: Resolve pipeline and stage**

Call `hubspot-get-deal-pipelines` (match `label` to `{pipeline-name}`, or take the lowest `display-order` when blank), then `hubspot-get-deal-pipeline-stages` with that `pipeline-id`. Use the stage with the lowest `display-order` that is not closed, unless the user named a stage.

**Step 4: Confirm**

Show the user: deal name, company, amount, pipeline label, stage label, and the pipeline-id and stage-id you will send. Wait for an explicit yes.

**Step 5: Create**

Call `hubspot-add-deal` once with `deal-name`, `pipeline` = the pipeline-id, `deal-stage` = the stage-id, and `amount` when given. Then call `hubspot-add-company-note` once on the company: "Deal created: <deal name> (<amount>), deal ID <new id>."

**Step 6: Verify and report**

Call `hubspot-get-deals` with `record-id` = the returned id and report the stored deal. Tell the user that `hubspot-add-deal` does not associate the deal with the company, so they should link it in HubSpot.

**Rules & Guidelines:**

* Only `hubspot-add-deal` and `hubspot-add-company-note` may write, each once, and only after the confirmation in Step 4.
* Do NOT call any other write tool: `hubspot-add-contact`, `hubspot-add-company`, `hubspot-add-ticket`, `hubspot-update-contact`, `hubspot-update-company`, `hubspot-update-deal`, `hubspot-update-ticket`, `hubspot-add-contact-note`, `hubspot-add-deal-note`, `hubspot-add-ticket-note`.
* Do not set `owner-id`. No tool maps a person's name to a HubSpot owner ID, so leave ownership unchanged unless the user gives you a numeric owner ID.

**Validation:**

* Never send a stage label as `deal-stage`; always the stage-id from `hubspot-get-deal-pipeline-stages`.
* If `hubspot-add-deal` fails, report the error and do not add the note.

Who it's for

One answer, three teams that use it

Account executives

Open a deal straight after a call

Create the deal in one message, in the right pipeline and first stage, without hunting through settings.

Create a deal called Contoso Expansion 2027 for Contoso, 18,000, in the New business pipeline.

Account managers

Log renewals without doubling up

Similar open deals are checked first, so a renewal is not opened twice for the same customer.

Open a renewal deal for Northwind Traders called Northwind 2027 renewal, 30,000, in Renewals.

Revenue operations

Keep the forecast clean

Deals start in a real first stage with no duplicates, so pipeline reports reflect actual business.

Is there already an open deal like Fabrikam Platform Upgrade in HubSpot? If not, create one for 45,000.
