The problem

Hot Drip leads go cold waiting for a follow-up

Drip scores your leads, but a high score only matters if a salesperson follows up. Checking each hot lead in HubSpot and whether someone already has a task takes long enough that leads go cold or get called twice.

Without PopdockAI

  • Pull high scoring subscribers from Drip
  • Search HubSpot for each email
  • Check whether someone already has a task open
  • Create tasks by hand while leads cool off

With PopdockAI

  • Active Drip leads at or above your score are read
  • Each is found in HubSpot by email
  • Leads not in HubSpot or already being worked are skipped
  • You confirm the tasks, scores and owners before anything is written

Prompt
**Objective:** Make sure every active Drip lead with a lead score of at least `{min-lead-score}` (default 60) who is a HubSpot contact has an open HubSpot follow-up task, creating one due in `{due-in-days}` days (default 2) for each who has none, after the user confirms. Check up to `{max-records}` (default 25) leads.

**Step 1: Hot leads in Drip**

Call `drip-get-subscriber` with `lead-score.min` set to `{min-lead-score}` (60 if blank), `status` set to active and `max-records` set to `{max-records}` (25 if blank). Keep `email`, `first-name`, `last-name`, `lead-score`, `tags`, `lifetime-value` and `created-date`.

**Step 2: Find each lead in HubSpot**

For each lead, call `hubspot-get-contacts` with `email` set to their email. Keep `record-id`, `company-id`, `contact-owner` and `lifecycle-stage`. People with no HubSpot contact go on a "not in HubSpot" list and get no task.

**Step 3: Skip leads already being worked**

For each matched lead, call `hubspot-get-tasks` with `contact-email` set to their email. If any task has a `task-status` other than COMPLETED, put the lead in "already has an open task" with that task's title, due date and assignee, and give them no new task.

**Step 4: Confirm**

Show the tasks to be created: email, name, lead score, tags, HubSpot owner, lifecycle stage, task subject, due date. Then the "already has an open task" and "not in HubSpot" lists. Say the tasks will be unassigned unless the user gives a numeric HubSpot owner ID. Ask the user to confirm, or to name leads to leave out. Do nothing more until they confirm.

**Step 5: Create the tasks**

Only after confirmation, call `hubspot-add-task` once per confirmed lead with:

* `subject`: Follow up hot Drip lead: <first name> <last name>
* `body`: Drip lead score <lead-score>. Tags: <tags>. Lifetime value: <lifetime-value>. In Drip since <created-date>.
* `due-date`: today plus `{due-in-days}` days (2 if blank), as an ISO date such as 2026-03-01
* `status` NOT_STARTED, `priority` HIGH, `type` TODO
* `contact-ids` set to the contact's `record-id`, and `company-ids` set to its `company-id` when it has one
* `owner-id` only if the user gave a numeric HubSpot owner ID

Report each new task id, then the totals: created, failed (with the error), already had an open task, not in HubSpot.

**Rules & Guidelines:**

* `drip-get-subscriber` is on the Drip server; `hubspot-get-contacts`, `hubspot-get-tasks` and `hubspot-add-task` are on the hubspot server.
* `hubspot-add-task` is the only write tool this prompt may call, once per confirmed person, after confirmation. Call no other hubspot-add, hubspot-update, hubspot-rename, hubspot-remove, hubspot-subscribe, hubspot-unsubscribe or hubspot-import tool; in particular do not change the contact.
* Do NOT set `owner-id` unless the user gives a numeric HubSpot owner ID; the contact-owner returned by `hubspot-get-contacts` is a name, and no tool here maps it to an ID. Without one the tasks are created unassigned, so say so at the confirmation step.
* Drip is read-only here. Do NOT call `drip-add-subscriber`, `drip-update-subscriber`, `drip-unsubscribe-subscriber`, `drip-add-subscriber-tag`, `drip-remove-subscriber-tag`, `drip-add-subscriber-to-campaign`, `drip-remove-subscriber-from-campaign`, `drip-remove-subscriber-from-all-campaigns`, `drip-start-subscriber-workflow`, `drip-remove-subscriber-from-workflow`, `drip-activate-campaign`, `drip-pause-campaign`, `drip-activate-workflow` or `drip-pause-workflow`.
* Match on email address only, compared case-insensitively with surrounding spaces trimmed.

**Validation:**

* If Drip returns no leads at or above the score, say so and stop.
* If every lead is already being worked or not in HubSpot, report the lists and stop without asking for confirmation.
* If one email matches more than one HubSpot contact, list them and create no task for that email.
* Leave out empty Drip values in the task body rather than writing blanks.

Who it's for

One answer, three teams that use it

Sales development reps

Call hot leads while they are warm

Get a follow-up task for each high scoring lead that nobody is working yet.

Create HubSpot tasks for Drip leads scoring 80 or more who have no open task.

Sales managers

Stop two reps calling the same lead

Leads with an open task are skipped, so effort goes to the people nobody has reached.

Which Drip leads above 60 are already being worked in HubSpot, and which need a task?

Marketing operations

Turn lead scores into sales action

Hand hot leads to sales as tasks with score and tags attached, without changing the contact record.

Set up HubSpot follow-up tasks for Drip leads scoring 75 or more and assign them to owner 12345.
