The problem

Renewal emails that miss customers or reach people who opted out

A renewal series only works if it reaches customers before their contracts end. Building the list by hand means finding Rillet contracts ending soon, pulling emails and checking Drip so you do not enrol people who unsubscribed or are already in.

Without PopdockAI

  • Filter Rillet contracts by end date
  • Look up each customer's email addresses
  • Check each person in Drip for unsubscribes
  • Remove people already in the campaign

With PopdockAI

  • Active contracts ending in your window found in Rillet
  • Unsubscribed and already enrolled people skipped
  • A review that shows who is new to Drip before you confirm
  • Enrolled, skipped and failed reported, Rillet never written

Prompt
**Objective:** Enroll the contacts of every Rillet customer whose active contract ends within the next `{days-ahead}` days (default 60) in the Drip campaign named `{campaign-name}`.

**Step 1: Find the campaign in Drip**

Call `drip-get-campaign` (Drip) with name set to `{campaign-name}`. If nothing matches, retry with name.contains. If there is still no match, or more than one, list what was found and stop. Note the campaign-id and status; if the campaign is not active, warn the user that enrolled people will not receive emails until it is activated.

**Step 2: Find renewing contracts in Rillet**

Call `rillet-get-contracts` (Rillet) with end-date.from set to today and end-date.to set to today plus `{days-ahead}` days. Keep active contracts. Collect the customer-ids with contract name, end-date and total-value.

**Step 3: Carry across to Drip**

Call `rillet-get-customer-emails` (Rillet) once and attach the emails for each customer-id. For each email:

* Call `drip-get-subscriber` (Drip) with email set to it. Skip anyone whose status is unsubscribed.
* Call `drip-get-campaign-subscriber` (Drip) with email and campaign-id. Skip anyone already subscribed to this campaign.

**Step 4: Confirm**

Show the user: customer name, contract name, end-date, email, and whether the person already exists in Drip. Ask for explicit confirmation before writing.

**Step 5: Write**

For each confirmed email, call `drip-add-subscriber-to-campaign` (Drip) once with campaign_id and email. Then report enrolled, skipped (with the reason) and failed.

**Rules & Guidelines:**

* The only key shared by the two systems is the email address. Rillet emails come from `rillet-get-customer-emails` (one row per address, with its customer-id and email-type); Drip emails come from the email field of `drip-get-subscriber`. Compare them trimmed and lower-cased. Never match on name alone.
* The only tool that may write is `drip-add-subscriber-to-campaign` on Drip, after Step 4. Note that it creates the person in Drip if they are not there yet; say so in the confirmation. Do not call `drip-activate-campaign`, `drip-start-subscriber-workflow`, `drip-add-subscriber` or `drip-update-subscriber`.
* Never call any Rillet tool whose name starts with rillet-add, rillet-update, rillet-apply, rillet-unapply, rillet-record, rillet-set or rillet-setup. Rillet is read-only in this prompt.

**Validation:**

* If no contracts end in the window, say so and stop.
* If a renewing customer has no email in Rillet, list them under "no email on file".
* If the user does not confirm, stop and write nothing.

Who it's for

One answer, three teams that use it

Lifecycle marketers

Start renewal journeys on time

Customers enter the renewal series ahead of their end date, without you building the list from contracts.

Add customers with Rillet contracts ending in the next 90 days to our Renewal nurture campaign in Drip.

Customer success

Warm accounts up before renewal calls

Renewing customers hear from you by email before the conversation, so the call is not the first touch.

Enroll Contoso and any other Rillet customers renewing this month in the Drip renewal campaign.

Marketing operations

Keep opt-outs out of renewal sends

Unsubscribed people and existing enrolments are skipped, and the result shows exactly who was enrolled.

Enroll renewing Rillet customers in the Drip Renewal reminders campaign and report who was skipped.
