The problem

Meeting notes that wait until the end of the day

After a call, the Pipedrive deal should get a note, a booked next step and maybe a stage change, but that is three screens and it often waits until the end of the day or never happens. Rushing it creates a second follow-up when one already existed.

Without PopdockAI

  • Open the deal and write a note
  • Book the next step as an activity
  • Decide whether to change the stage
  • Create a second follow-up by mistake

With PopdockAI

  • The deal, contact and organization are found
  • Existing follow-ups are checked first
  • A stage change is proposed only when the outcome calls for it
  • You confirm, then each change is written once and read back

The prompt

Prompt
**Objective:** Record the outcome of a meeting on the deal `{deal-title}`: log `{outcome-summary}` as a note, schedule `{next-step}` for `{next-step-date}` (default 2 business days from today), and move the deal's stage only if the outcome clearly calls for it.

**Step 1: Find the deal**

Call `pipedrive-get-deal` with `title.contains` = `{deal-title}` and `status` = open. If more than one deal matches, list them (title, organization, stage) and stop. Keep deal-id, stage, pipeline, person-name and organization-name.

**Step 2: Gather what you need to link and plan**

* `pipedrive-get-activity` with `deal-id` and `done` = false, so you do not schedule a follow-up that already exists.
* `pipedrive-get-organization` with `name` = the deal's organization-name, and `pipedrive-get-person` with `name` = the deal's person-name and that `organization-id`, to get the IDs for linking.
* `pipedrive-get-activity-type` with `active` = true, to pick a valid type key for the follow-up.
* Only if the outcome clearly means the deal has progressed (e.g. "they asked for a proposal"): `pipedrive-get-stage` with `pipeline-name` = the deal's pipeline, to find the target stage-id.

**Step 3: Propose, then wait**

Show the user:
1. The note text you will add.
2. The follow-up: type, subject, due date, linked deal, person and organization. If a matching open activity already exists, say so and propose none.
3. The stage change, if any, from which stage to which.

Wait for explicit confirmation. Apply any edits the user makes.

**Step 4: Write**

1. `pipedrive-add-note` with `deal-id` (and `person-id` if resolved) and the note text.
2. `pipedrive-add-activity` with `deal-id`, `person-id`, `org-id`, `type`, `subject` and `due-date`.
3. `pipedrive-update-deal` with `id` and `stage-id`, only if the user approved a stage change.

**Step 5: Confirm**

Re-read with `pipedrive-get-note` (`deal-id`) and `pipedrive-get-activity` (`deal-id`, `done` = false) and report what was saved.

**Rules & Guidelines:**

* Call each write tool at most once, and only after confirmation.
* Do not change the deal's status, value or owner. Use the close-deal prompt for won or lost.
* Do not set `due-time` unless the user gave a time; it is in UTC.
* This tool set cannot mark an activity as done. If the meeting was itself a scheduled activity, tell the user to tick it off in Pipedrive.

**Validation:**

* If no open deal matches, say so and stop. Do not create a deal.
* If `{outcome-summary}` is empty, ask for it before doing anything.

Who it's for

One answer, three teams that use it

Account executives

Log the call in one message

Add the note and book the next step straight after the meeting, before the next call starts.

Log my call on the Contoso renewal deal: they approved the budget. Next step, send the contract Monday.

Sales managers

Keep deal stages accurate

A stage change is proposed only when the outcome clearly moves the deal, so the pipeline stays honest.

Record the demo outcome on the Fabrikam deal: they want pricing. Should it move stage?

Customer success managers

Record next steps on renewals

Book the follow-up and note the outcome without creating a second activity for the same task.

Log today's check-in on the Northwind Traders renewal deal and book a follow-up call in two weeks.
