The problem

Notes land on the wrong contact, or twice

Recording a conversation on a Constant Contact contact means finding the right person among similar names, checking nobody logged it already and typing it up cleanly. Notes end up on the wrong contact, entered twice or padded with details nobody said.

Without PopdockAI

  • Search for the contact among similar names
  • Scroll recent notes to check for a repeat
  • Type the note up from rough memory
  • Add details nobody actually said

With PopdockAI

  • The contact is found and you choose when several match
  • The last 7 days of notes are checked for a repeat
  • Wording is tidied without adding facts
  • Nothing is saved until you confirm, then it is read back

The prompt

Use this prompt

Copy it into any AI tool connected to PopdockAI. Swap the values in braces for your own.

Prompt
**Objective:** Add the note `{note}` to the contact `{contact}` (an email address or a name).

**Step 1: Find the contact**

If `{contact}` contains @, call `constant-contact-get-contact` with `email-address` set to it. Otherwise call `constant-contact-get-contact` with `last-name.contains` set to the last word of `{contact}` and keep the rows whose first and last name match. If nothing matches, say so and stop. If more than one contact matches, list them (name, email, company) and stop so the user can choose. Keep the contact-id.

**Step 2: Check for a duplicate**

Call `constant-contact-get-contact-note` with the `contact-id`. If a note from the last 7 days already says the same thing, show it and ask whether to add another; stop unless the user says yes.

**Step 3: Confirm and write**

Show the contact's name and email and the note text. If `{note}` is rough, tidy the wording without changing its meaning and show the tidied version. Ask the user to confirm. On an explicit yes, call `constant-contact-add-contact-note` exactly once with the contact-id and `content`. Then call `constant-contact-get-contact-note` with the `contact-id` and confirm the note is stored.

**Rules & Guidelines:**

* `constant-contact-add-contact-note` is the only write tool this prompt may call. Do not call `constant-contact-update-contact`.
* Do not add facts to the note that the user did not give.

**Validation:**

* If `{note}` is blank, ask for the note text and stop.
