The problem

Open tickets nobody raised in the stakeholder call

Before a stakeholder call, you look up each attendee in ServiceNow and search for their open tickets one at a time. It is slow, and an open issue that should have come up in the meeting gets missed.

Without PopdockAI

  • Copy the attendee list from the meeting
  • Find each person in ServiceNow
  • Search their open incidents one by one
  • Miss the critical one

With PopdockAI

  • The Granola meeting and its attendees are found for you
  • Each attendee's open incidents as caller are listed
  • The five highest priority across everyone are pulled out
  • Read only, with attendees not in ServiceNow listed

Prompt
**Objective:** Before or after the Granola meeting matching `{meeting-title}`, list the open ServiceNow incidents whose caller attended it, looking at no more than `{max-incidents}` incidents per attendee (default 10).

**Step 1: Find the meeting (Granola)**

Call `granola-get-note` with `title.contains` set to `{meeting-title}`. If more than one matches, list them and stop. If none, say so and stop.

**Step 2: Get attendees (Granola)**

Call `granola-get-attendee` with `note-id` set to the note `id`. Keep `name` and `email`.

**Step 3: Resolve each attendee (ServiceNow)**

Call `servicenow-get-user` with `email` set to each attendee email. Keep `name` and `sys-id`. Skip attendees with no user and list them at the end.

**Step 4: Find their incidents (ServiceNow)**

For each resolved user, call `servicenow-get-incident` with `caller` set to the user (try the `sys-id`; if that returns nothing, try `name`) and `max-records` set to `{max-incidents}`. Keep only incidents whose `state` is not Resolved, Closed or Cancelled.

**Step 5: Report**

Per attendee: the open incidents (number, short-description, priority, state, assigned-to, opened). Then the five highest-priority incidents across everyone, and the attendees with no ServiceNow user.

**Rules & Guidelines:**

* `granola-get-note` and `granola-get-attendee` are on the Granola server; `servicenow-get-user` and `servicenow-get-incident` are on the ServiceNow server.
* Read only. Do not call `servicenow-add-incident`, `servicenow-update-incident` or any other write tool.

**Validation:**

* If an attendee has no open incidents, say so rather than leaving them out.
* If the caller filter rejects both forms, report that and continue with the other attendees.
