The problem

Web orders and ERP records that drift apart

Finance matches web orders to NetSuite sales orders and invoices by eye. Over time totals or payment status drift apart, and nobody notices until the books are checked.

Without PopdockAI

  • Read the order in WooCommerce
  • Find the customer in NetSuite
  • Search sales orders and invoices near the date
  • Compare totals and payment by eye

With PopdockAI

  • The order and its lines are read
  • The NetSuite customer, sales order and invoice are found
  • Total difference and payment status are compared
  • Several matches are all listed, and nothing is updated

Prompt
**Objective:** For WooCommerce order `{order-number}`, find its counterpart in NetSuite and report whether the customer, total and payment status agree.

**Step 1: Read the WooCommerce order**

Call `woocommerce-get-order` (woocommerce server) with `order-number` set to `{order-number}`. Keep the status, total, created date and customer email. Then call `woocommerce-get-order-line` (woocommerce server) with the same `order-number` and keep each line's SKU, name and quantity.

**Step 2: Find the NetSuite sales order**

First call `netsuite-get-customer` (netsuite server) with `email` set to the order's customer email and take its internal-id. Then call `netsuite-get-salesorder` with `customer-id` set to that internal-id, `date.from` and `date.to` set to the WooCommerce created date plus or minus `{window-days}` days (default 3), and `total.min` and `total.max` set to the WooCommerce total. Also try `document-number` set to `{order-number}`.

**Step 3: Check for an invoice**

Call `netsuite-get-invoice` (netsuite server) with the same `customer-id` and date window. Keep the total, paid-amount and unpaid-amount.

**Step 4: Report**

Give the WooCommerce order summary, the matched NetSuite sales order and invoice (or none), the difference between totals, and a verdict: matched, total mismatch, payment status mismatch, or not found in NetSuite.

**Rules & Guidelines:**

* `woocommerce-get-order` and `woocommerce-get-order-line` are on the woocommerce server; `netsuite-get-customer`, `netsuite-get-salesorder` and `netsuite-get-invoice` are on the netsuite server.
* Read only. Never call `woocommerce-update-order`, `woocommerce-add-order-note`, `woocommerce-add-refund` or any add or update tool on either server.

**Validation:**

* If the order is not found in WooCommerce, stop and say so.
* If several NetSuite orders match, list them all and do not pick one.
* Treat a WooCommerce status of pending or on-hold as an expected unpaid state, not an error.
