The problem

Online buyers who may not exist in the ledger

Customers who buy in WooCommerce and customers billed in Rillet are rarely recorded the same way. One has the email, the other the company name, and locations drift, so working out who exists where means scrolling two lists and guessing.

Without PopdockAI

  • Export paying customers from WooCommerce
  • Scroll the Rillet customer list
  • Guess at near matches by name
  • Miss location differences

With PopdockAI

  • Paying customers and Rillet customers with emails are read
  • Matching goes by email, then company, then full name
  • Ambiguous and probable matches are flagged for a person
  • Location differences are listed, and nothing is changed

Prompt
**Objective:** Match every paying WooCommerce customer (or only those whose email contains `{email-contains}`, if given) to a Rillet customer, and report which customers exist in only one system and which disagree on name or location.

**Step 1: Read the WooCommerce customers**

Call `woocommerce-get-customer` with paying-customer set to true, and email.contains `{email-contains}` if it was given. Note customer-id, email, first-name, last-name, billing-company, billing-city, billing-state, billing-country and created-date.

**Step 2: Read the Rillet customers**

Call `rillet-get-customers` and `rillet-get-customer-emails`. Neither takes filters. Note customer-id, name, invoicing-name, city, state, country, and each customer's emails.

**Step 3: Match, in this order**

1. The WooCommerce email equals a Rillet customer email, ignoring case: exact match.
2. The WooCommerce billing-company equals the Rillet name or invoicing-name, ignoring case and punctuation: probable match.
3. The WooCommerce first-name and last-name together equal the Rillet name or invoicing-name, ignoring case: probable match.

Stop at the first rule that matches. If a rule matches more than one Rillet customer, list the customer as ambiguous with all candidates.

**Step 4: Report**

A summary line, then these tables:

1. Matched by email: WooCommerce email, Rillet name.
2. Probable: WooCommerce name, company and email, Rillet name, rule used. Say these need a person to confirm, and that adding the WooCommerce email to the Rillet customer would make future runs match exactly.
3. In WooCommerce only: email, name, company, billing-country, created-date.
4. In Rillet only: name, customer-id, emails. Include these only when no `{email-contains}` was given. Many Rillet customers never buy online, so say this list is for information.
5. Location disagreements: matched customers whose billing-country or billing-state differs from the Rillet country or state.

**Rules & Guidelines:**

* `woocommerce-get-customer` is on the woocommerce server. `rillet-get-customers` and `rillet-get-customer-emails` are on the rillet server.
* This prompt is read-only. Do not call `rillet-add-customer`, `rillet-update-customer`, `woocommerce-add-customer` or `woocommerce-update-customer`. WooCommerce does not return a street address, which `rillet-add-customer` requires, so creating the missing customers is not something to attempt from here.
* Guest checkouts have no WooCommerce customer record and will not appear. Say so if the user asks why an order's buyer is missing.

**Validation:**

* If WooCommerce returns no paying customers, say so and stop.
* If Rillet returns no customers, report every WooCommerce customer as in WooCommerce only.
