The problem

Finding what moved an account means a ledger export

Accountants export NetSuite ledger lines to a spreadsheet to find what moved an account, then sort and filter by hand. Odd entries such as a blank memo or a weekend posting are easy to overlook in a long export.

Without PopdockAI

  • Export ledger lines for the account
  • Sort and filter in a spreadsheet
  • Total debits and credits yourself
  • Overlook the weekend posting with no memo

With PopdockAI

  • The account is found, with candidates if several match
  • Ledger lines are read and totalled for the period
  • Largest lines and a breakdown by type are shown
  • Blank memos and weekend postings are flagged, nothing changed

The prompt

Prompt
**Objective:** Review general ledger activity on the account matching {account} from {date-from} to {date-to} (default the last 30 days).

**Step 1: Find the account**

Call `netsuite-get-account` with `account-number` set to {account}; if nothing returns, call it with `account-name.contains` set to {account}. If more than one account matches, list them with `account-number` and `account-type` and stop.

**Step 2: Read the ledger**

Call `netsuite-get-generalledger` with `account-number`, `date.from` and `date.to`.

**Step 3: Report**

Total debits, total credits and net movement. Then the ten largest lines (date, document number, transaction type, memo, amount), a breakdown by `transaction-type`, and any entries with a blank memo or posted on a weekend. End with a short list of items worth a second look and why.

**Rules & Guidelines:**

* This is a read-only job. Do not call any tool whose name starts with netsuite-add- or netsuite-update-, and never change, create or delete a record.
* Report only what the tools return. Do not estimate or invent figures; if a total is needed, add up the rows you actually retrieved and say so.
* If a read returns the maximum number of rows, say the result may be truncated and suggest narrowing the filters.
* Dates are YYYY-MM-DD. Where an input is blank, use the default stated in the Objective.

**Validation:**

* If a read returns nothing, say so and stop rather than guessing.
* If an input is ambiguous, list the candidates and ask which one is meant.
