The problem

Payables due, but no clear order to pay them

Finding what is due means reading NetSuite open payable items on one screen and vendor bills on another, then matching them by hand. Items with no bill behind them get missed, and payments go out late or in the wrong order.

Without PopdockAI

  • List open payable items due by the date
  • Look up the vendor bill behind each one
  • Total the cash needed by hand
  • Decide the payment order on instinct

With PopdockAI

  • Open payable items due by your date are read
  • They are matched to vendor bills from the last 90 days
  • Items with no bill are flagged
  • Cash needed and a proposed payment order, nothing changed

Prompt
**Objective:** List vendor payables due on or before {due-by-date} (default today plus 7 days), optionally for one {vendor}, and propose a payment order.

**Step 1: Pull the open items**

Call `netsuite-get-apopenitem` with `due-date.to` set to {due-by-date} and, if {vendor} is given, `vendor` set to it. Keep rows with an open amount above zero (`amount-applied` shows what is already paid). If nothing returns, say no payables are due and stop.

**Step 2: Match the bills**

Call `netsuite-get-vendorbill` with `date.from` set to 90 days before {due-by-date} and `date.to` set to {due-by-date} for the vendors involved, to confirm document numbers. Flag any open item that has no matching bill.

**Step 3: Report**

A table of vendor, document number, due date, open amount and days overdue, sorted by due date. Group totals by vendor, then recommend a payment order: overdue first, then largest. State total cash needed.

**Rules & Guidelines:**

* This is a read-only job. Do not call any tool whose name starts with netsuite-add- or netsuite-update-, and never change, create or delete a record.
* Report only what the tools return. Do not estimate or invent figures; if a total is needed, add up the rows you actually retrieved and say so.
* If a read returns the maximum number of rows, say the result may be truncated and suggest narrowing the filters.
* Dates are YYYY-MM-DD. Where an input is blank, use the default stated in the Objective.

**Validation:**

* If a read returns nothing, say so and stop rather than guessing.
* If an input is ambiguous, list the candidates and ask which one is meant.
