The problem

The asset register drifts until the auditor asks

The fixed asset register in Dynamics GP drifts: fully depreciated assets still in use, assets missing from a book, cost bases that no longer match. Reviewing it before an audit or renewal means scanning every asset and book row.

Without PopdockAI

  • Export every asset and book row
  • Total net book value and depreciation by class
  • Look for assets missing a book row or in-service date
  • Compare cost basis with acquisition cost by hand

With PopdockAI

  • Assets and book values are read for the class and book
  • Totals by class cover net book value, cost and depreciation
  • Fully depreciated, incomplete and mismatched assets are listed
  • Recent purchases are shown, and nothing is changed

Prompt
**Objective:** Review the fixed asset register for class `{asset-class-id}` (default all) in book `{book-id}` (default the corporate book) and surface the assets that need attention.

Pass `{company}` as `company` on every call (if it is empty, omit `company` and the default company is used). Pass a generous `max-records` (1000). If a result comes back with exactly that many rows, say the result may be truncated.

**Step 1: Assets**

Call `dynamics-gp-get-fa-asset` with `asset-class-id` when given. Note `asset-status`, `acquisition-date`, `acquisition-cost`, `location-id`, `custodian`.

**Step 2: Book values**

Call `dynamics-gp-get-fa-book` with `book-id` (and `asset-class-id` when given). If `{book-id}` is empty, read without it, list the distinct book ids, and use the one that looks like the corporate book, saying which you chose.

**Step 3: Findings**

* Net book value, cost basis and year-to-date depreciation by `asset-class-id`.
* Fully depreciated but still active: `net-book-value` at or below `salvage-value`, or `remaining-life-years` of 0, where the asset status is still active.
* Active assets with no row in the book, or no `place-in-service-date`.
* Assets with an `acquisition-cost` but a `cost-basis` that differs from it by more than 1 percent.

**Step 4: Recent acquisitions**

Call `dynamics-gp-get-fa-purchase` with `date.from` set to 90 days ago: asset, vendor, purchase order number, cost.

**Step 5: Report**

The class summary table, then each finding as its own table (asset id, suffix, description, class, key values), then recent acquisitions.

**Rules & Guidelines:**

* This prompt is read-only. Do not call any tool whose name does not contain `get` (no add, update, note or email tools).
* Fully depreciated assets in use are normal; present them as a disposal and insurance review list, not as errors.

**Validation:**

* If no assets match, say so and stop.
