The problem

Aging reports that bury the customers you need to call

Building an aging report means pulling every open Rillet invoice, working out days past due and sorting them into buckets per currency. Drafts and voids sneak into the totals, and the customers who most need a call get lost.

Without PopdockAI

  • Export open invoices from Rillet
  • Work out days past due for each
  • Sort into buckets and keep currencies apart
  • Scan the table for who to chase

With PopdockAI

  • Open invoices read with drafts and voids left out and counted
  • Days past due from the due date, or invoice date when missing
  • Aging buckets and totals per currency
  • The top five customers to chase, each with a reason

Prompt
**Objective:** Produce an accounts receivable aging as of `{as-of-date}` (default today), optionally limited to the customer `{customer-name}` (default all customers), and recommend who to chase first.

**Step 1: Resolve the customer (only if one was given)**

If `{customer-name}` is not empty, call `rillet-get-customers` (it takes no filters) and find the customer whose `name` or `invoicing-name` matches. If more than one matches, list them with their `customer-id` and stop. If none match, say so and stop.

**Step 2: Pull the open invoices**

Call `rillet-get-invoices` (it takes no filters). Keep only invoices with `amount-due` greater than zero, and only the resolved `customer-id` if Step 1 ran. Call `rillet-get-customers` if you have not already, to put a name on every `customer-id`.

**Step 3: Age them**

* Days past due = `{as-of-date}` minus `due-date`. An invoice with no `due-date` is aged from `invoice-date`.
* Buckets: Current (not yet due), 1-30, 31-60, 61-90, over 90.
* Never add amounts in different currencies together. Keep a separate aging per `currency`.

**Step 4: Report**

* A table per currency: customer, then the `amount-due` in each bucket, then the total, sorted by the over-90 column, then the total.
* A bucket totals row.
* The top five collection priorities: customer, oldest invoice number, days past due, amount due, and one line on why.

**Rules & Guidelines:**

* This is read-only. Do not call any tool whose name starts with rillet-add-, rillet-update-, rillet-apply-, rillet-unapply-, rillet-record-, rillet-set- or rillet-setup-. In particular do not call `rillet-add-invoice-payment` or `rillet-set-invoice-sent-status`.
* An invoice whose `status` suggests it is draft or void is not a receivable. Leave it out and say how many you excluded.
* Use the `overdue` flag only as a cross-check; compute the days yourself.

**Validation:**

* If no invoice has an amount due, say the ledger is clear and stop.
* If `{as-of-date}` cannot be read as a date, ask for it in YYYY-MM-DD form.
