The problem

Risky journal entries hide among hundreds of lines

Reviewing journal entries means scanning for entries that do not balance, inactive accounts, manual postings with no source and reversals that never happened. Done by eye across hundreds of lines, the risky ones slip past before close.

Without PopdockAI

  • Export journal entries and lines for the period
  • Check each journal balances per currency
  • Look up accounts for inactive ones
  • Scan by eye for manual and unusual postings

With PopdockAI

  • Journals, lines and the chart of accounts read together
  • Each journal tested for imbalance and account problems
  • Review signals like large round manual amounts flagged
  • Errors first, worded as reasons to look, nothing fixed

Prompt
**Objective:** Audit the journal entries dated between `{from-date}` and `{to-date}`, optionally only those touching the account `{account-code}` (default all accounts), and list the ones that break a rule or deserve review.

**Step 1: Pull the entries**

* `rillet-get-journal-entries` and `rillet-get-journal-entry-lines` take no filters. Keep rows whose `date` is in the period.
* If `{account-code}` is set, keep only journals that have at least one line on that account, but keep all of those journals' lines.
* Call `rillet-get-accounts` for the chart of accounts.

**Step 2: Check each journal**

* Unbalanced: debit lines and credit lines (by `side`) do not total the same per currency.
* Bad account: a line's `account-code` is not in the chart, or the account's `status` is not active.
* Manual: no `related-entity-type`, so it was not generated by a bill, invoice or other record. These are the entries to review first.
* Reversal overdue: `reversal-date` is before today but no reversing entry with the same name is visible.
* Round and large: a manual line that is a round number and among the ten largest in the period.
* Posted on a weekend.

**Step 3: Report**

* A counts table: journals checked, and how many failed each check.
* For each flagged journal: name, date, the checks it failed, its lines (account code and name, side, amount), and the `journal-id`.
* Unbalanced and bad-account findings first; they are errors. The rest are for review.

**Rules & Guidelines:**

* This is read-only. Do not call any tool whose name starts with rillet-add-, rillet-update-, rillet-apply-, rillet-unapply-, rillet-record-, rillet-set- or rillet-setup-. In particular do not call `rillet-update-journal-entry` or `rillet-add-journal-entry`, even to fix what you find.
* A flag is a reason to look, not proof of an error. Word it that way.

**Validation:**

* If no entries fall in the period, say so and stop.
