The problem

A G/L balance moves and nobody can say why

Explaining an unexpected G/L movement means scrolling through hundreds of ledger entries, grouping them by source and picking out the large ones. Reversals, weekend postings and blank descriptions are easy to miss.

Without PopdockAI

  • Filter ledger entries for the account and period
  • Export to a spreadsheet and pivot by source
  • Sort for the largest entries
  • Miss reversals and odd postings in the noise

With PopdockAI

  • Movement is totalled by document type and source
  • The ten largest entries are picked out
  • Reversals, weekend postings and blank descriptions are flagged
  • A short narrative explains it, and nothing is changed

Prompt
**Objective:** Explain what moved the G/L account `{account}` between `{start-date}` and `{end-date}` (default the current month to date).

Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.

**Step 1: Find the account**

Call `business-central-get-account` with account-number set to `{account}`. If nothing comes back, call it with name.contains set to `{account}`. If several match, list them and stop. Note account-type, account-category, income-balance, balance and blocked. If account-type is not Posting, say that entries post to the accounts it totals and ask the user to pick one of those.

**Step 2: Entries**

Call `business-central-get-general-ledger-entry` with gl-account-number, posting-date.from and posting-date.to. Raise max-records to 1000.

**Step 3: Analyse**

* Total debit-amount, credit-amount and net amount
* Net amount by document-type and by source-code
* The 10 largest entries by absolute amount
* Entries with reversed true, and entries posted on a weekend
* Entries whose description is blank
* Entries by user-id, if one user posted most of them

**Step 4: Report**

A short narrative (three to five sentences) of what drove the movement, then the tables above. Show the document-number and external-document-number of every entry you call out.

**Rules & Guidelines:**

* This prompt is read-only. Do not call any tool named business-central-create-* or business-central-update-*, in particular not `business-central-create-journal-line`.
* Describe; do not call an entry wrong unless the data shows it (a reversal, a blank description).

**Validation:**

* If there are no entries in the period, say so and show the account's current balance.
