The problem

Vendor data problems show up in the middle of a payment run

Vendor records collect missing terms or payment methods, duplicates set up by different people and blocked vendors with balances. These usually surface only when a payment run goes wrong.

Without PopdockAI

  • Filter the vendor list for blank terms and methods
  • Search for duplicates by name, email and phone
  • Check which duplicate is really in use
  • Find the problem after the run fails

With PopdockAI

  • Every vendor is checked for missing details and blocked balances
  • Possible duplicates are grouped by name, email or phone
  • A year of posted invoices shows which record is in use
  • You get a table per rule, and nothing is changed

Prompt
**Objective:** Audit vendor records and list the ones that break the rules below.

Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.

**Step 1: Vendors**

Call `business-central-get-vendor` with max-records 1000. Say if the result hits the limit.

**Step 2: Rules**

* Missing payment-terms-code or payment-method-code
* Missing email and phone-number
* Missing country-code
* Blocked (blocked not blank) with a balance still owed
* Possible duplicates: same name, same email, or same phone-number
* Negative balance (the company is owed money)

**Step 3: Activity**

For vendors flagged as possible duplicates, call `business-central-get-posted-purchase-invoice` with buy-from-vendor-number and posting-date.from one year ago to show which record is actually used.

**Step 4: Report**

A count per rule and a table per rule: vendor number, name, the failing values. For duplicate groups, say which record has the recent activity.

**Rules & Guidelines:**

* This prompt is read-only. Do not call any tool named business-central-create-* or business-central-update-*, in particular not `business-central-update-vendor`.

**Validation:**

* If no vendor breaks a rule, say so.

Who it's for

Accounts payable

Run payments without last minute surprises

Missing terms and payment methods are found ahead of the run, so payments are not held up on the day.

Check our Business Central vendors for missing payment terms or payment methods before Thursday's run.

Controllers

Reduce duplicate vendor risk

Duplicate groups come with the record actually in use, so you know which one to keep and which to block.

Find possible duplicate vendors in Business Central and tell me which record in each group is in use.

Procurement

Spot vendors who owe you money

Negative balances and blocked vendors with balances are listed, so credits and disputes are followed up.

Which Business Central vendors have a negative balance or are blocked with money outstanding?
