Close HubSpot tasks for meetings Granola already captured
For sales reps and managers who want HubSpot tasks to match the meetings that already took place, just by asking their AI assistant.

The problem
Meetings happen but the HubSpot tasks that set them up stay open
Meetings take place but the HubSpot tasks behind them stay open, so a rep's task list overstates what is left. Cleaning up means checking each task's contact against meeting notes and dates by hand, and it rarely gets done.
Without PopdockAI
- Open each task and note its contact
- Search Granola for a meeting with them
- Compare meeting and task dates
- Close a few and let the rest pile up
With PopdockAI
- Open tasks are matched to later Granola meetings
- Each task is judged done, possibly done or no evidence
- The meeting title and date back every verdict
- Only tasks you choose are completed, and each is checked

**Objective:** For open HubSpot tasks assigned to `{assigned-to}`, find the ones whose call or meeting with the task's contact has since taken place in Granola (in the last `{lookback-days}` days, default 30), and mark the ones the user confirms as completed.
**Step 1: Open tasks (HubSpot)**
Call `hubspot-get-tasks` with assigned-to set to the value given. Drop tasks whose task-status is COMPLETED. Keep tasks that have a contact-email; list the rest as "No contact, cannot check". Keep record-id, task-title, task-type, due-date, created-at and contact-email. If none remain, say so and stop.
**Step 2: Look for a later meeting (Granola)**
For each task, call `granola-get-attendee` with email set to the contact-email and note-created.from set to the later of the task's created-at and today minus the lookback days. Join on email, ignoring case. For each distinct note-id returned, call `granola-get-note` with id set to it and keep title, created-at and summary.
**Step 3: Judge each task**
* **Done:** a Granola meeting with the contact took place after the task was created, and the task is a call or meeting task (task-type CALL, or a title such as call, meet, demo, review or check-in), or the summary shows the task's subject was covered.
* **Possibly done:** a meeting with the contact took place, but its summary does not mention the task's subject.
* **No evidence:** no Granola meeting with the contact since the task was created.
**Step 4: Confirm**
Show a numbered table: task-title, due-date, contact-email, verdict, and the Granola meeting title and date that supports it. Ask which tasks to complete, by number, "all done" (the Done rows only) or "none". Write nothing until the user answers.
**Step 5: Complete the approved tasks**
For each approved task, call `hubspot-update-task` once with id set to its record-id and status set to COMPLETED. Change no other field. Then call `hubspot-get-tasks` with task-title set to the task-title and assigned-to, and confirm its task-status is COMPLETED.
**Rules & Guidelines:**
* `granola-get-attendee` and `granola-get-note` are on the Granola server. `hubspot-get-tasks` and `hubspot-update-task` are on the HubSpot server.
* The only write is `hubspot-update-task` with status COMPLETED, once per approved task. Call no other write tool: no other hubspot-add, hubspot-update, hubspot-rename, hubspot-remove, hubspot-subscribe, hubspot-unsubscribe or hubspot-import tool (including `hubspot-update-engagement-task`, `hubspot-add-task` and `hubspot-add-meeting`). The Granola server is only read.
* Never complete a Possibly done or No evidence task unless the user names it.
**Validation:**
* If Granola has no meetings with any of the contacts, report every task as No evidence and stop.
* If an update fails, report it and continue with the next task; do not retry it.Who it's for

What PopdockAI does when you ask
You name the rep and your AI assistant checks Granola for meetings with each task's contact. You choose what to complete, and Granola is only read.
01
Read
It reads the rep's open HubSpot tasks that have a contact email.
02
Match
It finds Granola meetings with each contact since the task was created.
03
Judge
It marks each task done, possibly done or no evidence, with the meeting behind it.
04
Confirm
You pick the tasks to complete, then it completes them and checks each status.
