The problem

Next steps from a call sit in your notes, not in HubSpot

After a call, the next steps for a deal stay in your notes until someone types them into HubSpot one task at a time. Each needs a due date, a type and links to the deal, company and contact, and some get entered twice.

Without PopdockAI

  • Retype each next step as its own task
  • Pick a type and due date for every one
  • Link each task to the deal, company and contact
  • Enter some steps twice by mistake

With PopdockAI

  • Your notes are split into tasks with a type and due date
  • The one matching deal is found, or candidates are listed
  • Steps that already have an open task are dropped and named
  • You edit or approve the table before anything is created

Prompt
**Objective:** Create one HubSpot task per next step in `{next-steps}` for the deal `{deal-name}`, due `{due-in-days}` days from today (default 3) unless a step names its own date.

**Step 1: Resolve the deal**

Call `hubspot-get-deals` with `deal-name.contains` = `{deal-name}`. If none or several match, list them with stage and close date and stop. Keep `record-id`, `company-id` and `contact-id`.

**Step 2: Split the steps**

Split `{next-steps}` into separate actions (one per line, bullet or sentence). For each, write a short subject that starts with a verb, pick a `type` (CALL if it is a call, EMAIL if it is an email, otherwise TODO), and work out a due date. Use a date written in the step itself; otherwise today plus `{due-in-days}` days.

**Step 3: Check for duplicates**

Call `hubspot-get-tasks` with `task-status` = NOT_STARTED and `task-title.contains` = a distinctive word from each subject. Drop any step that already has an open task with the same meaning, and say which.

**Step 4: Confirm**

Show a table: subject, type, due date, priority (MEDIUM unless the step says urgent, then HIGH). Wait for an explicit yes. The user may edit or drop rows.

**Step 5: Create**

Call `hubspot-add-task` once per confirmed row, with `subject`, `type`, `due-date`, `priority`, `status` = NOT_STARTED, `deal-ids` = the deal's record-id, and `company-ids` / `contact-ids` when set.

**Step 6: Report**

List each task subject with its new ID and due date.

**Rules & Guidelines:**

* Only `hubspot-add-task` may write, once per confirmed row, after Step 4.
* Do NOT call any other write tool: no other hubspot-add, hubspot-update, hubspot-rename, hubspot-remove, hubspot-subscribe, hubspot-unsubscribe or hubspot-import tool.
* Do not set `owner-id` unless the user gives a numeric HubSpot owner ID. No tool maps a person's name to an owner ID. New tasks are left unassigned unless given one.

**Validation:**

* If `{next-steps}` contains nothing actionable, say so and stop.
* Never create more than 10 tasks in one run; ask the user to split the list.

Who it's for

One answer, three teams that use it

Account executives

Turn call notes into tasks in one go

Paste the next steps from a call and get linked, dated tasks without filling in a form for each.

For the Fabrikam Expansion deal, add tasks to send pricing on Friday, call Tom about the pilot, and email the case study.

Sales engineers

Track technical follow-ups on the deal

Put demo and security follow-ups on the deal, so the account team sees what is coming.

On the Contoso Platform deal, create tasks to share the API docs and book a security review call next week.

Sales managers

Make sure next steps are captured

Every agreed step lands as a task with an owner and date, with repeats dropped.

Create follow-up tasks on the Northwind Traders renewal deal from these notes, skipping anything already open.
