The problem

HubSpot cannot see who you tagged in Drip

Drip tags mark who attended, bought or showed interest, but HubSpot lists know nothing about them. Copying them over means exporting, checking the exact tag and looking up each person by hand.

Without PopdockAI

  • Export subscribers with the tag from Drip
  • Make sure it is the exact tag, not a lookalike
  • Look up each person in HubSpot
  • Add them to the list one by one

With PopdockAI

  • The exact Drip tag is checked and its subscribers read
  • Only a manual HubSpot list is used or created
  • Each person is matched by email, unknowns are reported
  • Nothing is added until you confirm, and nobody is removed

The prompt

Prompt
**Objective:** Put every Drip subscriber tagged `{tag}` who is already a HubSpot contact into the manual HubSpot contact list `{list-name}`, creating the list if it does not exist, after the user confirms. Check up to `{max-records}` (default 200) Drip subscribers.

**Step 1: Check the tag in Drip**

Call `drip-get-tag` with `tag.contains` set to `{tag}`. Use the tag whose name equals `{tag}` ignoring case. If there is no exact match, list the closest tags and stop.

**Step 2: People with the tag in Drip**

Call `drip-get-subscriber` with `tags.contains` set to the tag and `max-records` set to `{max-records}` (200 if blank). Keep only people whose `tags` include the tag exactly, since a contains filter also matches longer tag names. Keep `email`, `first-name`, `last-name` and `status`.

**Step 3: Resolve the HubSpot list**

Call `hubspot-get-lists` with `name` set to `{list-name}` and `object-type` set to 0-1. If several lists come back, list them and stop. If one comes back, its `processing-type` must be MANUAL; if it is not, say HubSpot manages that list's members and stop. Keep its `list-id`, then call `hubspot-get-contact-list-membership` with `list-id` set to it and `max-records` 1000, and note the contact-id of every current member. If no list comes back, it will be created in the write step.

**Step 4: Match each person in HubSpot**

For each distinct email address, call `hubspot-get-contacts` with `email` set to it and keep `record-id`, first and last name and `lifecycle-stage`. Sort people into: to add (a HubSpot contact not yet on the list), already on the list, not in HubSpot. If one email matches more than one contact, list them under "ambiguous" and do not add any of them. This prompt does not create contacts.

**Step 5: Confirm**

Show the HubSpot list (its name, id and size, or "will be created as a manual contact list"), then the groups: to add (email, name, Drip status), already on the list (count), not in HubSpot (list), ambiguous (list). Ask the user to confirm the "to add" group, or to name people to leave out. Do nothing more until they confirm.

**Step 6: Write**

Only after confirmation:

1. If the list does not exist, call `hubspot-add-list` once with `name` set to `{list-name}`, `object-type` set to 0-1 and `processing-type` set to MANUAL. Keep the returned `id` as the list-id.
2. Call `hubspot-add-list-members` with `list-id` and `record-ids` set to the confirmed contacts' record-ids, comma-separated, in batches of at most 100.

**Step 7: Verify and report**

Call `hubspot-get-lists` with `list-id` and report its size (HubSpot can take a minute to update it). Then the totals: added, already on the list, not in HubSpot, ambiguous, failed (with the error).

**Rules & Guidelines:**

* `drip-get-tag` and `drip-get-subscriber` are on the Drip server; `hubspot-get-lists`, `hubspot-get-contact-list-membership`, `hubspot-get-contacts`, `hubspot-add-list` and `hubspot-add-list-members` are on the hubspot server.
* `hubspot-add-list` (at most once) and `hubspot-add-list-members` (once per batch) are the only write tools this prompt may call, and only after confirmation. Do NOT call `hubspot-remove-list-members` or `hubspot-add-contact`, and call no other hubspot-add, hubspot-update, hubspot-rename, hubspot-remove, hubspot-subscribe, hubspot-unsubscribe or hubspot-import tool. This prompt only adds members; it never removes anyone already on the list.
* Drip is read-only here. Do NOT call `drip-add-subscriber`, `drip-update-subscriber`, `drip-unsubscribe-subscriber`, `drip-add-subscriber-tag`, `drip-remove-subscriber-tag`, `drip-add-subscriber-to-campaign`, `drip-remove-subscriber-from-campaign`, `drip-remove-subscriber-from-all-campaigns`, `drip-start-subscriber-workflow`, `drip-remove-subscriber-from-workflow`, `drip-activate-campaign`, `drip-pause-campaign`, `drip-activate-workflow` or `drip-pause-workflow`.
* Membership of a HubSpot list does not change anyone's email consent. Do not treat it as a subscription, and do not subscribe anyone.
* Match on email address only, compared case-insensitively with surrounding spaces trimmed.

**Validation:**

* If Drip returns nobody, say so and stop before creating the list.
* If nobody is left to add, report the counts and stop without asking for confirmation or creating the list.
* If one batch fails, report it with the error and continue with the next.
