The problem

Bounced addresses linger in HubSpot and keep bouncing

When an email bounces in Constant Contact, the same bad address usually sits on the HubSpot contact too, and nobody is asked to fix it. Working through the bounce report and setting tasks by hand is tedious, so bad addresses stay.

Without PopdockAI

  • Read through the Constant Contact bounce report
  • Find each address in HubSpot
  • Check whether someone is already fixing it
  • Set tasks by hand, if anyone gets to it

With PopdockAI

  • Recent bounces are grouped by address with counts and types
  • Each address is matched to a HubSpot contact
  • Contacts already being fixed are skipped
  • No address is changed, a person confirms the right one

The prompt

Prompt
**Objective:** For every HubSpot contact whose email address bounced in Constant Contact in the last `{lookback-days}` days (default 30), optionally only bounces of type `{bounce-type}` (default all types), create a HubSpot task due in `{due-in-days}` days (default 7) to get a working address, after the user confirms.

**Step 1: Bounces in Constant Contact**

Call `constant-contact-get-campaign-bounce` with `created-date.from` set to today minus `{lookback-days}` days (30 if blank), as YYYY-MM-DD, and `bounce-type` set to `{bounce-type}` when it is not blank. Group by `email-address`: bounce count, distinct `bounce-type` values, latest `created-date`.

**Step 2: Find each address in HubSpot**

For each address, call `hubspot-get-contacts` with `email` set to it. Keep `record-id`, `company-id`, `contact-owner` and `phone-number`. Addresses with no HubSpot contact go on a "not in HubSpot" list and get no task.

**Step 3: Skip contacts already being fixed**

Call `hubspot-get-tasks` with `contact-email` set to the address and `task-title.contains` set to Fix bounced email. If any of those tasks has a `task-status` other than COMPLETED, put the contact in "already has an open task" and give them no new task.

**Step 4: Confirm**

Show the tasks to be created: email, name, HubSpot owner, phone, bounce count, bounce types, latest bounce, due date. Then the "already has an open task" and "not in HubSpot" lists. Say the tasks will be unassigned unless the user gives a numeric HubSpot owner ID. Ask the user to confirm, or to name contacts to leave out. Do nothing more until they confirm.

**Step 5: Create the tasks**

Only after confirmation, call `hubspot-add-task` once per confirmed contact with:

* `subject`: Fix bounced email: <email>
* `body`: Bounced <count> times in Constant Contact (<bounce types>), latest <date>. Confirm the right address with the contact and correct it in HubSpot.
* `due-date`: today plus `{due-in-days}` days (7 if blank), as an ISO date such as 2026-03-01
* `status` NOT_STARTED, `priority` MEDIUM, `type` CALL when the contact has a phone-number, otherwise TODO
* `contact-ids` set to the contact's `record-id`, and `company-ids` set to its `company-id` when it has one
* `owner-id` only if the user gave a numeric HubSpot owner ID

Report each new task id, then the totals: created, failed (with the error), already had an open task, not in HubSpot.

**Rules & Guidelines:**

* `constant-contact-get-campaign-bounce` is on the Constant Contact server; `hubspot-get-contacts`, `hubspot-get-tasks` and `hubspot-add-task` are on the hubspot server.
* `hubspot-add-task` is the only write tool this prompt may call, once per confirmed person, after confirmation. Call no other hubspot-add, hubspot-update, hubspot-rename, hubspot-remove, hubspot-subscribe, hubspot-unsubscribe or hubspot-import tool; in particular do not change the contact.
* Do NOT set `owner-id` unless the user gives a numeric HubSpot owner ID; the contact-owner returned by `hubspot-get-contacts` is a name, and no tool here maps it to an ID. Without one the tasks are created unassigned, so say so at the confirmation step.
* Constant Contact is read-only here. Do NOT call `constant-contact-add-contact`, `constant-contact-update-contact`, `constant-contact-add-contact-note`, `constant-contact-add-contact-list`, `constant-contact-update-contact-list`, `constant-contact-add-contact-tag`, `constant-contact-update-contact-tag`, `constant-contact-add-campaign`, `constant-contact-update-campaign` or `constant-contact-resend-campaign-to-non-openers`.
* Match on email address only, compared case-insensitively with surrounding spaces trimmed.
* Do not change the email address in either system; the task is for a person to confirm the right one.

**Validation:**

* If Constant Contact returns no bounces, say so and stop.
* If every contact is already being fixed or not in HubSpot, report the lists and stop without asking for confirmation.
* If one email matches more than one HubSpot contact, list them and create no task for that email.
