The problem

The account picture is spread across a dozen pages

Before a customer call you need their balance, credit headroom, overdue invoices, open orders, payments, reminders and notes. In Business Central that means a different page for each, and something important is easy to miss.

Without PopdockAI

  • Open the customer card for balance and limit
  • Check ledger entries for overdue invoices
  • Look up orders, payments and reminders separately
  • Miss an unapplied credit or a late order

With PopdockAI

  • Balance, headroom and open invoices with days overdue are read
  • Quotes, orders, payments, reminders and comments are added
  • Empty sections are marked none and currencies kept apart
  • At most three things to do, and nothing is changed

Prompt
**Objective:** Produce an account review for the customer `{customer-name}`, covering what they owe, what is open, and anything that needs attention.

Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.

**Step 1: Identify the customer**

Call `business-central-get-customer` with name.contains set to `{customer-name}`. If it matches more than one customer, list them (number, name, city, balance) and stop so the user can pick one. Keep the customer-number for every later call.

**Step 2: Balance and credit**

From the customer record note balance, balance-due, credit-limit, blocked, payment-terms-code, salesperson-code, outstanding-orders and outstanding-invoices. A credit-limit of 0 means no limit is set. Flag the account if balance exceeds a non-zero credit-limit, or if blocked is not blank.

**Step 3: Open receivables**

Call `business-central-get-posted-sales-invoice` with sell-to-customer-number set and remaining-amount.min set to 0.01. For each invoice compute days overdue against today from due-date. Call `business-central-get-posted-sales-credit-memo` with paid set to false to find credits that have not been applied yet.

**Step 4: Open sales documents**

Call `business-central-get-sales-transaction` with sell-to-customer-number set to list open quotes, orders, invoices and credit memos not yet posted. Note any order whose requested-delivery-date or shipment-date is in the past.

**Step 5: Payment history and dunning**

Call `business-central-get-detailed-customer-ledger` with customer-number set and posting-date.from 180 days ago to find the most recent payments (document-type Payment). Call `business-central-get-reminder` and `business-central-get-issued-finance-charge-memo` with customer-number set to see dunning activity. Call `business-central-get-customer-comment` with customer-number set for account notes.

**Step 6: Report**

* Header: customer number, name, salesperson, payment terms, blocked status
* Balance, balance due, credit limit and headroom
* Open invoices table: invoice number, posting date, due date, remaining amount, days overdue, sorted by days overdue
* Unapplied credit memos
* Open sales documents: type, number, date, amount, status
* Last three payments: date, document number, amount
* Dunning: reminders and finance charge memos with level and amount
* Notes from comments, newest first
* Attention list: three bullets at most saying what needs doing

**Rules & Guidelines:**

* This prompt is read-only. Do not call any tool named business-central-create-* or business-central-update-*, in particular not `business-central-update-customer`.
* Amounts are in the customer's currency unless the field says local currency. Do not mix currencies in one total.
* Report facts from the tools. Do not guess at reasons a customer has not paid.

**Validation:**

* If no customer matches, say so and suggest a shorter name fragment.
* If a read returns nothing, write "none" for that section rather than leaving it out.
