The problem

Auditors find fixed asset problems before you do

Fixed asset registers go stale: fully depreciated assets still active, items with no custodian or location, and equipment assigned to people who have left. Auditors find these faster than the finance team does.

Without PopdockAI

  • Filter assets for missing custodians and locations
  • Check depreciation setup asset by asset
  • Compare custodians with the leavers list by hand
  • Answer the auditor's questions after the fact

With PopdockAI

  • Active assets are checked for depreciation gaps and missing details
  • Custodians are cross checked against inactive employees
  • Location codes are checked against real locations
  • A summary by class and a table per check, and nothing is changed

Prompt
**Objective:** Audit the fixed asset register, optionally only class `{class-code}`, and list the records that need attention.

Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.

**Step 1: Assets**

Call `business-central-get-fixed-asset` with inactive false, and class-code when `{class-code}` is given. Raise max-records to 1000.

**Step 2: Checks**

* Fully depreciated: depreciation-end-date before today, or book-value 0, but still active
* No depreciation set up: acquisition-cost above 0 and no depreciation-start-date
* Missing custodian: responsible-employee blank
* Missing location: location-code blank
* Missing serial-number
* Blocked but active

**Step 3: Cross-checks**

* Call `business-central-get-employee` with status Inactive. Flag assets whose responsible-employee is one of them.
* Call `business-central-get-location`. Flag assets whose location-code is not a known location.

**Step 4: Report**

* Register summary: asset count, acquisition cost, book value, by class-code
* One table per check: asset number, description, class, the fact that failed
* Assets held by inactive employees, with the employee name

**Rules & Guidelines:**

* This prompt is read-only. Do not call any tool named business-central-create-* or business-central-update-*, in particular not `business-central-update-fixed-asset`.

**Validation:**

* If the class has no assets, say so and list the class codes that do exist.
