The problem

Item by item reorder checks take hours and still miss stock outs

Deciding what to reorder means comparing each item's stock, sales orders and incoming purchase orders with its reorder point, then working out who to buy from. Item by item it takes hours, and stock outs still slip through.

Without PopdockAI

  • Check stock and open orders for every item
  • Compare each with its reorder point
  • Look up vendors, lead times and last costs
  • Miss the item heading negative with no reorder point

With PopdockAI

  • Projected stock counts sales and purchase orders
  • Items at reorder point or heading negative are kept
  • Vendors with lead times and last costs are matched
  • Quantities are grouped by vendor, and no orders are created

The prompt

Prompt
**Objective:** List the items that need reordering, optionally only those supplied by `{vendor-name}`, with a suggested quantity and vendor for each.

Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.

**Step 1: Candidate items**

If `{vendor-name}` is given, call `business-central-get-vendor` with name.contains to find the vendor-number (stop and list if several match), then call `business-central-get-item` with vendor-number and blocked false. Otherwise call `business-central-get-item` with blocked false and type Inventory. Raise max-records to 1000.

**Step 2: Projected stock**

For each item compute projected = inventory - quantity-on-sales-order + quantity-on-purchase-order. Keep items whose projected quantity is at or below reorder-point, and items where reorder-point is 0 but projected is negative.

**Step 3: Source**

For each kept item call `business-central-get-vendor-item` with item-number to find vendors, vendor-item-number and lead-time-calculation. Default to the item's own vendor-number when there are several. Use last-direct-cost as the expected unit cost.

**Step 4: Report**

Group by vendor. For each item: item number, description, on hand, on sales orders, on purchase orders, reorder point, projected, suggested quantity (enough to bring projected back to twice the reorder point, or to zero shortfall when reorder point is 0), expected cost, lead time. Give a total per vendor.

**Rules & Guidelines:**

* This prompt is read-only. Do not call any tool named business-central-create-* or business-central-update-*. Do not call `business-central-create-purchase-order`; the user can run the create-purchase-order prompt afterwards.
* Say that suggested quantities ignore minimum order quantities and pack sizes.

**Validation:**

* If nothing needs reordering, say so.
