The problem

Customers chase late orders before you notice them

When the sales backlog is not reviewed, customers chase late orders first. Finding late lines, checking stock and finding the next delivery means switching between orders, items and purchase lines.

Without PopdockAI

  • Filter open orders for past shipment dates
  • Check stock for each late item
  • Look up incoming purchase lines for short items
  • Answer the customer after they chase

With PopdockAI

  • Outstanding lines past their shipment date are flagged
  • Stock is compared with total demand across open orders
  • Short items show their next expected receipt
  • Lines that can ship now are grouped by order, and nothing is changed

Prompt
**Objective:** Review the open sales order backlog, optionally for customer `{customer-name}`, flagging late lines and lines that stock cannot cover.

Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.

**Step 1: Open orders**

Call `business-central-get-sales-transaction` with document-type Order. If `{customer-name}` is given, pass it as sell-to-customer-name.contains.

**Step 2: Outstanding lines**

Call `business-central-get-sales-transaction-line` with document-type Order (and sell-to-customer-number when one customer was chosen). Keep lines where outstanding-quantity is above 0. A line is late when shipment-date is before today.

**Step 3: Stock check**

For each distinct item number on those lines (line-type Item), call `business-central-get-item` with item-number. Compare inventory with the total outstanding quantity across all open order lines for that item, and note quantity-on-purchase-order. For short items call `business-central-get-purchase-transaction-line` with number set to the item number and document-type Order to find the next expected-receipt-date.

**Step 4: Report**

* Summary: number of open orders, outstanding lines, late lines, value outstanding
* Late lines: order, customer, item, outstanding quantity, shipment date, days late
* Short items: item, on hand, needed by open orders, on purchase order, next receipt date
* Lines that can ship now (stock covers them), grouped by order

**Rules & Guidelines:**

* This prompt is read-only. Do not call any tool named business-central-create-* or business-central-update-*, in particular not `business-central-update-sales-order` or `business-central-update-sales-order-line`. Suggest date changes, do not make them.
* Stock is company-wide inventory; say that location-level availability is not checked.

**Validation:**

* If there are no open orders, say so and stop.
