Know what you owe a vendor before the next conversation
For finance teams who want a vendor's balance, open invoices, orders and late receipts in one review, by asking their AI assistant.

Connector
Connect Microsoft Dynamics 365 Business Central, pick your AI tool and paste the prompt.
The problem
Supplier facts sit on half a dozen pages
Before a supplier call or payment decision you need what you owe, what is on order, which credits are unapplied and whether deliveries are late. In Business Central that sits on several pages for each vendor.
Without PopdockAI
- Open the vendor card for balance and terms
- Check open invoices and credit memos
- Look through purchase documents for late receipts
- Miss that a blocked vendor still has a balance
With PopdockAI
- Balance, terms, open invoices and unapplied credits are read
- Open purchase documents, late receipts and payments are added
- A blocked vendor with a balance is flagged
- Up to three things to address, and nothing is changed
The prompt
Use this prompt
Copy it into any AI tool connected to PopdockAI. Swap the values in braces for your own.
**Objective:** Produce an account review for the vendor `{vendor-name}`: what the company owes them, what is on order, and anything that needs attention.
Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.
**Step 1: Identify the vendor**
Call `business-central-get-vendor` with name.contains set to `{vendor-name}`. If more than one vendor matches, list them (number, name, city, balance) and stop. Keep the vendor-number.
**Step 2: Balance and terms**
Note balance, balance-due, blocked, payment-terms-code, payment-method-code, currency-code and purchaser-code. Flag the vendor if blocked is not blank while balance is not zero.
**Step 3: Open payables**
Call `business-central-get-posted-purchase-invoice` with buy-from-vendor-number set and closed set to false. Compute days until or past due-date for each. Call `business-central-get-posted-purchase-credit-memo` with buy-from-vendor-number set and paid set to false for credits still to be applied.
**Step 4: Open purchase documents**
Call `business-central-get-purchase-transaction` with buy-from-vendor-number set for orders, invoices and credit memos not yet posted. For open orders call `business-central-get-purchase-transaction-line` with document-number set and report outstanding-quantity and expected-receipt-date; flag lines whose expected-receipt-date has passed.
**Step 5: History and notes**
Call `business-central-get-detailed-vendor-ledger` with vendor-number set and posting-date.from 180 days ago to find the last payments. Call `business-central-get-vendor-comment` with vendor-number set. Call `business-central-get-vendor-item` with vendor-number set to show which items this vendor supplies.
**Step 6: Report**
* Header: number, name, terms, payment method, currency, blocked
* Balance and balance due
* Open invoices: number, vendor invoice number, due date, remaining amount, days to due (negative when overdue)
* Unapplied credit memos
* Open purchase documents and late receipts
* Last three payments
* Items supplied (count, and up to ten)
* Notes, newest first
* Attention list, three bullets at most
**Rules & Guidelines:**
* This prompt is read-only. Do not call any tool named business-central-create-* or business-central-update-*, in particular not `business-central-update-vendor`.
* Keep amounts in the document currency and say which currency.
**Validation:**
* If no vendor matches, say so and suggest a shorter name fragment.
* Write "none" for any empty section.Who it's for
