The problem

Webinar numbers and pipeline live in different systems

Judging whether a webinar campaign paid off means combining GoTo Webinar registration and attendance with campaign cost and pipeline in Dynamics 365 Sales. Matching attendees to contacts and leads and finding their open deals is slow by hand.

Without PopdockAI

  • Export registrants and attendees
  • Match each email to a contact or lead
  • Find open deals at their accounts
  • Claim pipeline the webinar did not cause

With PopdockAI

  • Campaign details and webinar counts are read
  • Up to 50 emails are matched to contacts or leads, attendees first
  • Open opportunities at their accounts are totalled
  • Cost per attendee and honest caveats, and nothing is changed

The prompt

Prompt
**Objective:** Measure the Dynamics 365 Sales campaign `{campaign-name}` against its GoTo Webinar webinar `{webinar-name}` (default: a webinar named like the campaign): how many registered and attended, how many are in the CRM, and what open pipeline sits behind them.

**Step 1: Find the campaign (dynamics-365-sales)**

Call `dynamics-365-sales-get-campaigns` with `name` set to `{campaign-name}`; if nothing matches, retry with `name.contains`. If more than one matches, list them and stop. Keep actual-start-date (or proposed-start-date), budget-allocated, total-cost-of-campaign and estimated-revenue.

**Step 2: Find the webinar (goto-webinar)**

Call `goto-webinar-get-webinar` with webinar-name.contains set to `{webinar-name}`, or to the campaign name if it is blank, and date.from set to the campaign start date. If nothing matches, stop and ask for the webinar name. If more than one distinct webinar key matches, list them and ask which to use.

**Step 3: Count the funnel (goto-webinar)**

Call `goto-webinar-get-session` with the webinar key for registrant-count, registrants-attended and percentage-attendance. Then call `goto-webinar-get-registrant` and `goto-webinar-get-attendee` with the webinar key to get the emails.

**Step 4: Match to the CRM (dynamics-365-sales)**

For each distinct email (at most 50, attendees first), call `dynamics-365-sales-get-contacts` with `email`; if nothing matches, `dynamics-365-sales-get-leads` with `email`. For each distinct parent customer among the matched contacts, call `dynamics-365-sales-get-opportunities` with `potential-customer` set to it and keep the ones with no actual close date.

**Step 5: Report**

A funnel table: registered, attended, attendance rate, in CRM as contacts, in CRM as leads, not in CRM, accounts with open opportunities, total estimated revenue of those opportunities. Then cost per attendee (total cost of campaign divided by attendees) if the campaign has a cost, set against the campaign's estimated revenue.

**Rules & Guidelines:**

* `goto-webinar-*` tools are on the goto-webinar server; `dynamics-365-sales-*` tools are on the dynamics-365-sales server. If a tool from either server is missing, stop and say which server is not connected.
* This prompt is read-only. Do not call `goto-webinar-add-registrant` or `goto-webinar-delete-registrant`, and do not call any Dynamics 365 Sales create or update tool (any tool whose name starts with dynamics-365-sales-create- or dynamics-365-sales-update-), such as `dynamics-365-sales-create-lead`, `dynamics-365-sales-create-task` or `dynamics-365-sales-update-contact`.
* Match email addresses case-insensitively after trimming spaces. GoTo Webinar and Dynamics 365 Sales share no other key, so never match two people on name alone; a name-only similarity may be mentioned as "possible match" but is not a match.
* The pipeline is associated with the webinar, not caused by it. Say so in the report; never call it campaign revenue.

**Validation:**

* If more than 50 emails were found, say how many were not matched and that the CRM counts are a lower bound.
* If the campaign has no cost, leave cost per attendee out and say why.
