Log calls, emails and meetings in HubSpot in one sentence
For sales reps who want offline conversations on the HubSpot timeline, linked to the right contact, company and deal, by telling their AI assistant.

The problem
Conversations outside HubSpot never reach the timeline
Calls on a mobile phone, emails from another inbox and meetings outside the calendar never reach HubSpot unless someone logs them. Logging means finding the contact, company and right open deal and checking it is not there already, so most of it is skipped.
Without PopdockAI
- Find the contact and their company
- Work out which open deal it belongs to
- Check the interaction is not already logged
- Skip it because it takes too long
With PopdockAI
- The one matching contact and their company are found
- An open deal is proposed, or you choose if there are several
- Duplicates logged the same day are caught
- You review the entry and links before anything is logged

**Objective:** Log a `{interaction-type}` (call, email or meeting; default call) with the contact `{contact-email}`, summarised as `{summary}`, dated `{date}` (default today).
**Step 1: Resolve the contact**
Call `hubspot-get-contacts` with `email` = `{contact-email}`. If none match, retry with `email.contains`. If none or several match, list them and stop. Keep the contact's `record-id` and `company-id`.
**Step 2: Find an open deal to link**
If the contact has a `company-id`, call `hubspot-get-deals` with `company-id` = it. Ignore deals whose `deal-stage-name` reads as closed won or closed lost. If exactly one open deal remains, propose linking it; if several remain, list them and ask which one, or none.
**Step 3: Check for a duplicate**
Look for the same interaction already logged on `{date}`:
* call: `hubspot-get-calls` with `contact-id` and `activity-date.from` / `activity-date.to` = `{date}`
* email: `hubspot-get-emails` with `contact-id` and the same date range
* meeting: `hubspot-get-meetings` with `contact-id` and `meeting-start-time.from` / `meeting-start-time.to` = `{date}`
If one with a matching title or subject exists, show it and ask whether to continue.
**Step 4: Confirm**
Show the type, date, title or subject (the first sentence of `{summary}`, at most 80 characters), body (`{summary}`), and the contact, company and deal IDs it will be associated with. Wait for an explicit yes.
**Step 5: Write**
Call exactly one of these, once:
* call: `hubspot-add-call` with `title`, `body`, `timestamp` = `{date}`, `direction` = OUTBOUND unless the summary says the customer called, `status` = COMPLETED
* email: `hubspot-add-email` with `subject`, `body`, `timestamp` = `{date}`, `direction` = EMAIL unless the summary says the customer wrote in (then INCOMING_EMAIL), `status` = SENT, `to-email` = `{contact-email}`
* meeting: `hubspot-add-meeting` with `title`, `body`, `timestamp`, `start-time` and `end-time` = `{date}`, `outcome` = COMPLETED
Always pass `contact-ids`, plus `company-ids` and `deal-ids` when resolved.
**Step 6: Report**
Give the new record's ID and what it was linked to. Offer to create a follow-up task with the create-follow-up-tasks prompt; do not create one yourself.
**Rules & Guidelines:**
* Only the one tool in Step 5 may write, once, after the confirmation in Step 4.
* Do NOT call any other write tool: no other hubspot-add, hubspot-update, hubspot-rename, hubspot-remove, hubspot-subscribe, hubspot-unsubscribe or hubspot-import tool.
* Do not set `owner-id` unless the user gives a numeric HubSpot owner ID. No tool maps a person's name to an owner ID.
* Logging an email does not send it. Say so if the user seems to expect delivery.
**Validation:**
* If `{interaction-type}` is not call, email or meeting, ask which it is and stop.
* If `{date}` is not a date, ask for one in ISO form (2026-03-01) and stop.Who it's for
One answer, three teams that use it
Account executives
Log calls from your mobile in a sentence
Record a call you made on the move, linked to the contact, company and deal, without opening HubSpot.
Log a call with priya@contoso.com today. She confirmed budget for Q1 and wants a demo next week.
Customer success managers
Keep the account history complete
Meetings and emails that happened elsewhere land on the timeline, so the next person has the full story.
Log a meeting with tom.reyes@fabrikam.com yesterday about onboarding. They need two more admin seats.
Sales managers
Make sure deals show real activity
Interactions logged against the right open deal keep pipeline reviews grounded in what actually happened.
Log an email to dana@northwindtraders.com today sending the revised proposal, on her open deal.
How it works
What PopdockAI does when you ask
You describe the interaction in one sentence and your AI assistant finds the contact, company and deal. Nothing is logged until you confirm, and logging an email does not send it.
01
Ask
You give the contact email, the type, a summary and the date.
02
Match
It finds the contact, their company and any open deal to link.
03
Check
It looks for the same interaction already logged that day.
04
Confirm
You review the entry and links, then it logs it and gives you the ID.
