The problem

Calling about an appeal the donor never received

Before calling a donor about an email appeal you need to know whether they receive your email at all. Giving is in DonorPerfect and email status is in Mailchimp, so the full picture means two systems and several screens.

Without PopdockAI

  • Find the donor in DonorPerfect, checking other addresses
  • Review gifts and open pledges
  • Search Mailchimp for status and recent activity
  • Spot mismatches yourself

With PopdockAI

  • The donor is found, including through another address
  • Giving and open pledges are read
  • Mailchimp status, rates, opens, clicks and bounces are added
  • Mismatches are called out, and it is read only

Prompt
**Objective:** Build a combined profile for the donor with email `{donor-email}`: their DonorPerfect record and giving, and their Mailchimp audience membership and email engagement over the last `{lookback-days}` days (default 90).

**Step 1: Find the donor in DonorPerfect**

Call `donorperfect-get-donor` with `email` set to `{donor-email}`. If nothing comes back, call `donorperfect-get-address` with `email` set to `{donor-email}` and use its `donor-id` to call `donorperfect-get-donor` again with `donor-id`. If more than one donor matches, list them (donor id, name, city) and stop. If no donor matches, say the email is not on file in DonorPerfect and continue with Step 3 only.

**Step 2: Read their giving**

Call `donorperfect-get-gift` with the donor's `donor-id`. Note gift total, gift count, the last gift date and amount, and any open pledge balance.

**Step 3: Find them in Mailchimp**

Call `mailchimp-get-list-member` with `email` set to `{donor-email}`. Record each audience they belong to, with status, tags, rating and average open and click rates. If nothing comes back, report the donor as not in any Mailchimp audience.

**Step 4: Recent email engagement**

Call `mailchimp-get-campaign-email-activity` with `email-address` set to `{donor-email}` and `activity-date.from` set to `{lookback-days}` days before today. Call `mailchimp-get-campaign-unsubscribe` with `email` set to `{donor-email}`. Summarize opens, clicks and bounces by campaign, and any unsubscribe with its date and reason.

**Step 5: Report**

A short profile with three sections: DonorPerfect (name, donor id, gift total, last gift), Mailchimp (audiences and status, engagement rates, recent activity), and Observations (for example: an active donor who has unsubscribed, a hard bounce on the email DonorPerfect holds, or a highly engaged subscriber who has never given).

**Rules & Guidelines:**

* `donorperfect-get-donor`, `donorperfect-get-address` and `donorperfect-get-gift` are on the donorperfect server. `mailchimp-get-list-member`, `mailchimp-get-campaign-email-activity` and `mailchimp-get-campaign-unsubscribe` are on the mailchimp server.
* This is read-only. Do NOT call `donorperfect-save-donor`, `donorperfect-save-contact`, `donorperfect-set-flag`, `mailchimp-add-list-member` or `mailchimp-update-list-member`.
* Match emails case-insensitively after trimming spaces.

**Validation:**

* If neither system has the email, say so and stop.
* If the donor's DonorPerfect email differs from `{donor-email}` only by case, treat it as the same person and mention it.
