The problem

One supplier, two vendor IDs, double payments

Adding a vendor to Dynamics GP without checking first is how the same supplier ends up under two IDs. A proper setup also needs a remit-to address, an email and an ID that fits your scheme.

Without PopdockAI

  • Search vendors by name and city, missing inactive ones
  • Make up an ID that fits your scheme
  • Key the vendor, remit-to address and email separately
  • Pay the same supplier under two records

With PopdockAI

  • Vendors are searched by name and city, including inactive ones
  • An unused ID in your house style is proposed
  • Every field is shown before anything is written
  • Vendor, remit-to and email are created in order and read back

Prompt
**Objective:** Set up `{vendor-name}` as a new vendor with id `{vendor-id}` (default proposed) from `{details}`, without creating a duplicate, after the user confirms.

Pass `{company}` as `company` on every call (if it is empty, omit `company` and the default company is used). Pass a generous `max-records` (1000). If a result comes back with exactly that many rows, say the result may be truncated.

**Step 1: Duplicate check**

Call `dynamics-gp-get-pm-vendor` with `vendor-name.contains` using the most distinctive word of `{vendor-name}`, and again by city if given. Show likely matches and stop if one looks like the same business, including inactive ones (reactivating is better than duplicating).

**Step 2: Id**

If `{vendor-id}` is empty, propose one in the style of existing ids and check it is unused with `dynamics-gp-get-pm-vendor` by `vendor-id`.

**Step 3: Confirm**

Show the user exactly what will be written, field by field, and ask for explicit confirmation. Do nothing further without a clear yes. Show id, name, class, status, address, city, state, zip, country, phone, contact, terms, email, and any separate remit-to address.

**Step 4: Write**

1. Call `dynamics-gp-pm-vendor-add` once with the confirmed vendor fields.
2. If a separate remit-to address was given, call `dynamics-gp-pm-vendor-address-add` once with `vendor-id`, `address-code` and its fields.
3. If an email was given, call `dynamics-gp-pm-vendor-address-email` once with `vendor-id`, `address-code` and `email-address`.

Run each step only if the one before succeeded. If a later step fails, say which parts were created. Do not retry a failed write automatically. Report the error exactly as returned.

**Step 5: Verify**

Call `dynamics-gp-get-pm-vendor` by `vendor-id` and report the stored record.

**Rules & Guidelines:**

* The only write tools this prompt may call are `dynamics-gp-pm-vendor-add`, `dynamics-gp-pm-vendor-address-add` and `dynamics-gp-pm-vendor-address-email`, once each, after Step 3.
* Do not record bank or tax id details; these tools do not take them, and they should not pass through chat.

**Validation:**

* If the proposed vendor id is taken, propose another and confirm again.
