The problem

New starters with a second account or direct roles

Setting up a new starter means creating the account, adding groups and making sure the roles are right. Without a check first, a returning employee gets a second account, and roles granted directly bypass group based access.

Without PopdockAI

  • Create the account without searching first
  • Type group names and hope they are right
  • Grant roles directly to save time
  • Clean up duplicate accounts later

With PopdockAI

  • Existing users are checked by login, email and name
  • Each group name is verified, with misspellings questioned
  • You review the record and groups before anything is created
  • Roles come only from groups, never granted directly

Prompt
**Objective:** Create user `{full-name}` with login `{user-id}` and email `{email}`, and add them to `{groups}`.

**Step 1: Check they do not already exist**

Call `servicenow-get-user` with user-id `{user-id}`, then with email `{email}`, then with name `{full-name}`. Any match: show it and stop. An inactive match should be reactivated in ServiceNow, not duplicated.

**Step 2: Check the groups**

For each group in `{groups}` call `servicenow-get-group-member` with group set to it. A group returning no members may be misspelled: list it and ask before continuing.

**Step 3: Confirm**

Split `{full-name}` into first-name and last-name. Ask the user for department, manager, title and location if they want them set; each is optional. Show the full record and the group list, and ask for an explicit yes.

**Step 4: Write, in this order**

1. Call `servicenow-add-user` once with user-name `{user-id}`, first-name, last-name, email `{email}`, active true and any confirmed optional fields.
2. Call `servicenow-get-user` with user-id `{user-id}` to confirm the account exists and get its sys-id.
3. For each confirmed group, call `servicenow-add-group-member` once with group set to the group and user set to the new sys-id.

**Step 5: Verify and report**

Call `servicenow-get-group-member` with user `{full-name}` and report the account, its sys-id and the groups it joined. Then call `servicenow-get-user-role` with user `{full-name}` and list the roles it inherited from those groups.

**Rules & Guidelines:**

* Write tools allowed: `servicenow-add-user` once and `servicenow-add-group-member` once per group, after one confirmation.
* Roles come through groups. Do not call `servicenow-add-user-role` from this prompt; granting a role directly bypasses group-based access control.
* If step 4.2 cannot find the new user, stop before adding any group membership.
