The problem

Deals needing action hide in plain sight

A pipeline review usually means scrolling every stage in Pipedrive, opening deals to see whether a next step is booked and adding up values by hand. Deals with no follow-up, an overdue activity or a past close date hide in plain sight.

Without PopdockAI

  • Scroll each stage in Pipedrive
  • Open deals one by one to check the next step
  • Total values by hand, mixing currencies
  • Miss the deal with a past close date

With PopdockAI

  • Stages and open deals are read for one or all pipelines
  • Each deal's activities, close date and value are checked
  • Total and weighted value per currency by stage
  • A needs attention list with next steps, nothing changed

Prompt
**Objective:** Review the open deals in the `{pipeline-name}` pipeline (default: every active pipeline), optionally only those owned by `{owner-name}`, and flag the deals that need attention.

**Step 1: Resolve the pipeline and its stages**

If `{pipeline-name}` is given, call `pipedrive-get-pipeline` with `name` set to it. Otherwise call it with `active` = true and review each pipeline returned. Then call `pipedrive-get-stage` with `pipeline-name` (and `active` = true) and keep each stage's stage-id, name, order and deal-probability.

**Step 2: Resolve the owner (optional)**

If `{owner-name}` is given, call `pipedrive-get-user` with `name.contains`. If it matches more than one user, list them and stop. Keep the user-id.

**Step 3: Pull the open deals**

For each stage, call `pipedrive-get-deal` with `status` = open, `stage-id` and, if resolved, `owner-id`. Deals come back with stage, pipeline, owner and organization as names, not IDs.

**Step 4: Check each deal's next step**

For each open deal call `pipedrive-get-activity` with `deal-id` and `done` = false. Flag a deal when:

* it has no open activity (no next step scheduled)
* its earliest open activity is due before today (overdue next step)
* its expected-close-date is blank or already in the past
* its value is blank or zero

If there are more than 50 open deals, check activities only for the 25 highest-value deals and say so.

**Step 5: Report**

1. A stage table in stage order: stage, number of deals, total value per currency, weighted value (value x probability; use the deal's probability, or the stage's deal-probability when the deal has none).
2. A **Needs attention** table: deal, organization, owner, stage, value, expected close, issue, suggested next step.
3. Three to five recommendations for the pipeline as a whole.

**Rules & Guidelines:**

* This prompt is read-only. Do not call `pipedrive-add-deal`, `pipedrive-update-deal`, `pipedrive-add-activity`, `pipedrive-update-activity` or `pipedrive-add-note`.
* Never add values across currencies. Total each currency separately.
* Deals carry no stage-entry date, so do not claim a deal is rotten or say how long it has sat in a stage.
* If a filter on `owner-id` returns nothing when you expect records, run the same read without it and keep the rows whose owner-name matches the user instead.

**Validation:**

* If the pipeline is not found, list the active pipelines and stop.
* If there are no open deals, say so and stop.
