The problem

Asset records that fall behind the device

Laptops and devices change hands constantly, and the ServiceNow asset record falls behind. Updating it by hand risks assigning a device to someone who left, keeping the old location or reviving an asset that was already retired.

Without PopdockAI

  • Search for the asset by tag, then serial
  • Assign it without checking the new holder is active
  • Leave the old location in place
  • Reassign a retired device by mistake

With PopdockAI

  • The asset is found by tag or serial, and retired assets stop the job
  • The new holder must be one active user
  • Their location is offered for the asset
  • One update after you confirm, re-read to show before and after

Prompt
**Objective:** Assign asset `{asset-tag}` to `{assign-to}`, or return it to stock if `{assign-to}` is blank, recording `{reason}`.

**Step 1: Read the asset**

Call `servicenow-get-asset` with asset-tag `{asset-tag}`. Keep sys-id, display-name, state, assigned-to and location. If the asset is Retired or Disposed, stop.

**Step 2: Check the new holder (if `{assign-to}` is given)**

Call `servicenow-get-user` with name `{assign-to}`. The user must be unique and active. Note their location.

**Step 3: Confirm**

Show: asset, current holder and state, new holder (or "stock"), new state (In use when assigning, In stock when returning), location (the new holder's location when assigning), and the comment. Ask for an explicit yes.

**Step 4: Write once**

Call `servicenow-update-asset` once with sys-id and:

* assigning: assigned-to `{assign-to}`, install-status In use, location from Step 2 if the user confirmed it
* returning: install-status In stock and a substatus of Available if that value is listed

Add comments "`{reason}`" when given. When returning, tell the user that the tool cannot blank the assigned-to field, so the previous holder may still show until it is cleared in ServiceNow.

**Step 5: Verify**

Re-read with `servicenow-get-asset` and report the before and after holder, state and location.

**Rules & Guidelines:**

* The only write tool this prompt may call is `servicenow-update-asset`, once, after confirmation. Do not call `servicenow-update-configuration-item` or `servicenow-update-user`.

**Validation:**

* If `{asset-tag}` is not found, retry with serial-number set to the same value before giving up.
