The problem

Unsubscribed in Mailchimp, still subscribed in HubSpot

Someone who unsubscribes in Mailchimp can still look subscribed in HubSpot, and may even sit on an open deal. Without a regular check, the CRM keeps emailing people who asked you to stop.

Without PopdockAI

  • Export recent unsubscribes from Mailchimp
  • Search HubSpot for each email
  • Check subscription status, owner and deals
  • Find the gaps only after a complaint

With PopdockAI

  • Recent unsubscribes are read, optionally for one campaign
  • Each email is checked for HubSpot subscriptions and owner
  • Open deals are shown, still subscribed people first
  • It never changes a subscription

Prompt
**Objective:** Find everyone who unsubscribed in Mailchimp in the last `{lookback-days}` days (default 30 if blank) and check whether HubSpot still treats them as reachable, optionally limited to campaigns whose name contains `{campaign-name}`.

**Step 1: Recent Mailchimp unsubscribes**

Call `mailchimp-get-campaign-unsubscribe` with `unsubscribe-date.from` set to today minus the lookback. If `{campaign-name}` is not blank, also set `campaign-name.contains` to it. Note `email`, `unsubscribe-date`, `reason` and `campaign-name`. If nothing comes back, report that there were no unsubscribes in the window and stop.

**Step 2: Carry each email into HubSpot**

For each distinct `email`:

* Call `hubspot-get-contacts` with `email` set to it. Note `record-id`, `contact-owner`, `lifecycle-stage` and `company-id`. If none comes back, record the person as "Not in HubSpot" and move on.
* Call `hubspot-get-contact-subscriptions` with `recipient-email` set to it. Record each subscription's `name` and `status`.
* If the contact has a `company-id`, call `hubspot-get-deals` with `company-id` set to it and count deals whose `deal-stage-name` is not a closed stage.

**Step 3: Report**

A table with columns: email, unsubscribed on, campaign, reason, HubSpot owner, HubSpot subscriptions still subscribed, open deals. Sort rows that are still subscribed in HubSpot first, then rows with open deals. Below the table give the counts: total unsubscribes, still subscribed in HubSpot, on an open deal, not in HubSpot.

**Rules & Guidelines:**

* `mailchimp-get-campaign-unsubscribe` is on the Mailchimp server; the hubspot- tools are on the HubSpot server.
* Match on email address only, compared case-insensitively with surrounding spaces trimmed. Never match on name alone.
* This prompt is read-only. Do not call `hubspot-add-contact`, `hubspot-update-contact`, `hubspot-add-contact-note`, `hubspot-add-company`, `hubspot-update-company`, `hubspot-add-company-note`, `hubspot-add-deal`, `hubspot-update-deal`, `hubspot-add-deal-note`, `hubspot-add-ticket`, `hubspot-update-ticket` or `hubspot-add-ticket-note` on HubSpot, and do not call `mailchimp-add-list-member`, `mailchimp-update-list-member`, `mailchimp-add-customer`, `mailchimp-update-customer`, `mailchimp-add-segment-member`, `mailchimp-start-automation`, `mailchimp-pause-automation`, `mailchimp-replicate-campaign`, `mailchimp-update-product` or `mailchimp-update-order` on Mailchimp.
* Do not change anyone's subscription status. This prompt only reports; the user decides what to change.

**Validation:**

* If `hubspot-get-contact-subscriptions` returns nothing for an email, show "No HubSpot subscriptions" rather than treating them as subscribed.
* If the same email unsubscribed from more than one campaign, show one row with the most recent date and list the campaigns.
