The problem

Collected tax and posted tax that do not agree

Before a sales tax filing, the tax WooCommerce collected should agree with what landed in the Rillet tax account. Totalling line tax, taking off refunds and netting journal lines by hand takes time, and the difference rarely explains itself.

Without PopdockAI

  • Total item tax on sale orders
  • Subtract tax on refund lines
  • Net debits and credits on the Rillet tax account
  • Guess why the figures differ

With PopdockAI

  • The tax account is confirmed to exist
  • Collected and refunded tax are summed from WooCommerce
  • Posted tax is netted from Rillet journal lines
  • Likely causes for any gap are listed, and nothing is posted

Prompt
**Objective:** Compare the sales tax WooCommerce collected on orders from `{from-date}` to `{to-date}` (default: the previous calendar month), net of refunded tax, with the net credits posted to Rillet account `{tax-account-code}` in the same period.

**Step 1: Tax collected in WooCommerce**

Call `woocommerce-get-order-line` with date-created.from and date-created.to set to the period. Keep lines whose order-status is processing, completed, on-hold or refunded. Sum line-total-tax by currency, and count the orders.

WooCommerce order lines carry item tax only. Shipping tax is not in this figure: say so in the report.

**Step 2: Tax refunded in WooCommerce**

Call `woocommerce-get-refund-line` with created-date.from and created-date.to set to the period. Sum line-item-total-tax by currency, as a positive number whatever its sign.

**Step 3: Tax posted in Rillet**

Call `rillet-get-accounts` filtered by account-code `{tax-account-code}` and confirm it exists. Then call `rillet-get-journal-entry-lines` (no filters) and keep lines whose account-code is `{tax-account-code}` and whose date falls in the period. Net them as credits minus debits, by currency.

**Step 4: Report**

A table by currency:

| | Amount |
|---|---|
| WooCommerce item tax collected | |
| WooCommerce item tax refunded | |
| WooCommerce net item tax | |
| Rillet net credits to the tax account | |
| Difference | |

If there is a difference, look for its likely causes and list them: shipping tax (not in the WooCommerce figure), refunds booked in a different period, orders not yet invoiced in Rillet (check `rillet-get-invoices` for invoice-numbers equal to the order-numbers), or tax filings and payments posted to the same account.

**Rules & Guidelines:**

* `woocommerce-get-order-line` and `woocommerce-get-refund-line` are on the woocommerce server. `rillet-get-accounts`, `rillet-get-journal-entry-lines` and `rillet-get-invoices` are on the rillet server.
* This prompt is read-only. Do not call `rillet-add-journal-entry`, `rillet-update-journal-entry` or any other write tool. If an adjustment looks necessary, say what it would be and leave posting it to the user.

**Validation:**

* If `{tax-account-code}` is not a Rillet account, stop and say so.
* If there are no WooCommerce orders in the period, report WooCommerce tax as zero and still show the Rillet side.
* Show every currency separately. Do not convert.
