Record bank fees and interest once, the right way round
For finance teams who want one-off checkbook entries recorded in Dynamics GP with duplicate and direction checks, by asking their AI assistant.

The problem
Bank fees keyed twice or the wrong way round
Bank fees, interest and one-off checkbook entries in Dynamics GP get keyed in a hurry and sometimes twice. Picking money in or out and the right type is easy to get backwards, which throws off the bank reconciliation.
Without PopdockAI
- Check the checkbook is still active
- Search recent entries to avoid a duplicate
- Decide whether it is a deposit or a withdrawal
- Fix the reconciliation when it was entered backwards
With PopdockAI
- The checkbook is confirmed active
- Similar entries from the last 45 days are flagged
- Money in or out and the matching type are worked out, or it asks
- You see the balance before and after, then it records once

**Objective:** Record a bank transaction of `{amount}` in checkbook `{checkbook-id}` for `{description}`, after a duplicate check and the user's confirmation.
Pass `{company}` as `company` on every call (if it is empty, omit `company` and the default company is used). Pass a generous `max-records` (1000). If a result comes back with exactly that many rows, say the result may be truncated.
**Step 1: Checkbook**
Call `dynamics-gp-get-gl-checkbook` by `checkbook-id`. Stop if it does not exist or is `inactive`. Note `currency-id` and `current-balance`.
**Step 2: Duplicate check**
Call `dynamics-gp-get-gl-bank-transaction` by `checkbook-id` with `transaction-date.from` set to 45 days ago. Warn about any non-voided transaction with the same amount and a similar description.
**Step 3: Transaction type**
Work out whether `{description}` is money out (fee, withdrawal, check) or money in (interest, receipt, deposit), and choose the matching `option` and `cm-transaction-type` from the codes the tool lists. If unsure, ask.
**Step 4: Confirm**
Ask for the transaction number to use and the date (default today). Show the user exactly what will be written, field by field, and ask for explicit confirmation. Do nothing further without a clear yes. Show checkbook, option, type, number, date, amount, paid to or received from, description, and the checkbook balance before and after.
**Step 5: Write, once**
Call `dynamics-gp-gl-bank-transaction-add` once with `checkbook-id`, `option`, `cm-transaction-type`, `cm-transaction-number`, `transaction-date`, `transaction-amount`, `description` and `paid-to-received-from` when known. Do not retry a failed write automatically. Report the error exactly as returned.
**Step 6: Verify**
Call `dynamics-gp-get-gl-bank-transaction` by `cm-transaction-number` and report what was stored.
**Rules & Guidelines:**
* `dynamics-gp-gl-bank-transaction-add` is the only write tool this prompt may call, once, after Step 4.
**Validation:**
* If `{amount}` is not a positive number, stop and ask again.Who it's for
One answer, three teams that use it
Staff accountants
Record bank charges quickly
Describe the fee or interest and confirm, without picking transaction types in the checkbook window.
Record 12.40 interest earned in the SAVINGS checkbook in Dynamics GP for October.
Treasury teams
Keep the bank rec clean
Entries go in the right direction and only once, so the reconciliation does not need fixing later.
Add a 250 wire fee to the OPERATING checkbook in Dynamics GP, but check it is not already there.
Bookkeepers
Avoid keying the same fee twice
A similar entry in the last 45 days is flagged before you record, so duplicates are caught at entry.
Record the 35 monthly service charge in Dynamics GP for the PAYROLL checkbook.
How it works
What PopdockAI does when you ask
You give the amount, checkbook and description, and your AI assistant checks Dynamics GP for duplicates and works out the direction. Nothing is recorded until you approve.
01
Ask
You give the amount, checkbook and description.
02
Check
It confirms the checkbook is active and looks for a similar entry in the last 45 days.
03
Confirm
You see the type, direction and balance before and after, and approve.
04
Record
It records the transaction once and reads it back.
