The problem

Reminders go out for invoices the customer already paid

Draft reminders and finance charge memos are often prepared days before they are issued. Customers pay in the meantime, and reminding someone about a settled invoice, or charging interest twice, damages the relationship.

Without PopdockAI

  • Open each draft reminder
  • Check every line against the current remaining amount
  • Compare with reminder terms and earlier charges
  • Send a reminder for an invoice already paid

With PopdockAI

  • Every invoice line is checked against what is still owed
  • Reminder levels and minimum amounts are checked against terms
  • Interest already charged on issued memos is caught
  • Ready to issue and needs fixing lists, and nothing is issued

Prompt
**Objective:** Review the draft reminders and finance charge memos waiting to be issued, optionally only for customer `{customer-name}`, and list which are safe to issue and which need fixing.

Pass `{company}` as the company argument on every call. If `{company}` is empty, leave the company argument out so the connector's default company is used.

**Step 1: Load the drafts**

Call `business-central-get-reminder` and `business-central-get-finance-charge-memo`. If `{customer-name}` is given, pass it as customer-name.contains on both. For each draft call `business-central-get-reminder-line` with reminder-number, or `business-central-get-finance-charge-memo-line` with finance-charge-memo-number.

**Step 2: Check each line is still owed**

For each line whose document-type is Invoice, call `business-central-get-posted-sales-invoice` with invoice-number set to the line's document-number. If remaining-amount is now 0, or lower than the line's remaining-amount, the customer has paid since the draft was made. Flag the line.

**Step 3: Check the terms**

Call `business-central-get-reminder-term` with reminder-terms-code from each reminder. Flag a reminder whose reminder-level is above maximum-number-of-reminders, or whose remaining-amount is below minimum-amount.

**Step 4: Check for repeats**

Call `business-central-get-issued-finance-charge-memo` with customer-number set and cancelled false, and compare with `business-central-get-issued-finance-charge-memo-line` for the same customer. Flag a draft finance charge that charges interest on a document already charged in an issued memo covering the same period.

**Step 5: Report**

* Ready to issue: number, customer, level, remaining amount, fee
* Needs fixing: number, customer, the problem, the line affected
* Total fees and interest that would be charged

**Rules & Guidelines:**

* This prompt is read-only. Do not call any tool named business-central-create-* or business-central-update-*. Issuing and deleting reminders happens in Business Central, not here.
* When in doubt about a line, put it under "needs fixing" with the reason.

**Validation:**

* If there are no drafts, say so and stop.
