The problem

Timesheet problems slip through to invoices and payroll

Before billing or payroll, someone has to go through Teamwork.com time looking for entries with no task, blank descriptions, impossible hours and unbillable time on billable projects. Scanning hundreds of rows by eye misses things.

Without PopdockAI

  • Export a week of time entries
  • Scan hundreds of rows for missing tasks and descriptions
  • Check project billable settings one by one
  • Fix the mistakes after the invoice has gone

With PopdockAI

  • Entries with no task, no description or over eight hours are flagged
  • Unbillable time on billable projects is caught
  • Long days, weekend and unverified entries are listed
  • Each flag is worded as a question, and nothing is changed

Prompt
**Objective:** Audit the time logged in Teamwork from {period-start} to {period-end} (default: Monday of the current week to today), for people whose name contains {person-name} (everyone when blank).

**Step 1: Pull the entries**

Call `teamwork-get-time` with `time-logged.from` and `time-logged.to` set to the period, `user-name.contains` when a person is given, and `max-records` 500.

**Step 2: Check project billability**

Collect the distinct `project-id` values and call `teamwork-get-projects` filtered by each `project-id` to read `is-billable`.

**Step 3: Flag entries**

Flag an entry when:

* it has no `task-id` (time not tied to a task)
* its `description` is empty
* a single entry is over 480 minutes
* it is not billable (`is-billable` false) on a project whose `is-billable` is true
* it falls on a Saturday or Sunday (report these, but as a note, not a fault)

Also flag a person-day whose total `minutes` exceeds 600.

**Step 4: Report**

* Per person: total hours, billable hours and billable share, number of flagged entries.
* A table of the flagged entries: person, date, project, task, hours, reason flagged, and `time-log-id`, grouped by reason.
* Person-days over 10 hours.
* Entries where `verified` is false, as a count per person.

**Rules & Guidelines:**

* This prompt is read-only. Do not call any tool whose name begins with teamwork-create-, teamwork-update-, teamwork-complete-, teamwork-uncomplete-, teamwork-assign-, teamwork-move-, teamwork-copy-, teamwork-clone-, teamwork-reorder-, teamwork-archive-, teamwork-unarchive-, teamwork-lock- or teamwork-unlock-, and do not call `teamwork-get-file-shared-link`.
* In particular, do not call `teamwork-update-time-entry` or `teamwork-create-time-entry` to fix what you find. List it for the user.
* A flag is a question, not an accusation. Word findings neutrally.

**Validation:**

* When the period is invalid (end before start, or not a date), say so and stop.
* When 500 entries come back, say the audit may be incomplete and suggest a shorter period or a single person.
* When nothing is logged in the period, say so plainly.
