The problem

Logging time takes longer than it should

Logging time in Teamwork.com means finding the project and task, turning a rough duration into hours and minutes, and remembering whether you logged it already. Pick the wrong task or log twice and timesheets and budgets go wrong.

Without PopdockAI

  • Click through to find the project and task
  • Convert a rough duration into hours and minutes
  • Check whether you already logged it today
  • Correct timesheets after a double entry

With PopdockAI

  • Project and task are found, with candidates listed if ambiguous
  • The duration is parsed, and odd values are queried
  • A matching entry today is flagged before logging
  • The entry is logged once after you confirm and read back

Prompt
**Objective:** Log {time-spent} against the task matching {task-name} in the Teamwork project matching {project-name}, for today, described as {work-description} (blank when not given).

**Step 1: Identify the project**

Call `teamwork-get-projects` with `name.contains` set to {project-name}. If nothing matches, say so and stop. If more than one project matches, list them with `project-name`, `company-name` and `status`, ask which one is meant, and stop. Keep the `project-id` for every later call.

**Step 2: Identify the task**

Call `teamwork-get-tasks` with `project-id` and `name.contains` set to {task-name}. If more than one task matches, list them with `task-list-name`, `status` and `due-date`, and stop. If the only match is completed (`completed-at` set), say so and ask whether to log time against it anyway.

**Step 3: Parse the duration**

Turn {time-spent} into whole hours and remaining minutes (for example "1h 30m", "90m" and "1.5 hours" all become 1 hour 30 minutes). Stop and ask when it cannot be parsed, is zero, or is more than 12 hours.

**Step 4: Check for a duplicate**

Call `teamwork-get-time` with `task-id` and `time-logged.from` set to today. If an entry today already has the same total minutes, show it and ask whether this is a second, separate entry.

**Step 5: Confirm, then write once**

Show the project, task, date, hours and minutes, and description, and ask the user to confirm. Only after an explicit yes, call `teamwork-create-time-entry` once with `project-id`, `task-id`, `date`, `hours`, `minutes` and `description`. Leave `user-id` blank so the time goes to the connected user, and leave `is-billable` unset unless the user said whether it is billable.

**Step 6: Verify**

Call `teamwork-get-time` with `task-id` and `time-logged.from` set to today and confirm the new entry is there. Report its `time-log-id`.

**Rules & Guidelines:**

* `teamwork-create-time-entry` is the only write tool this prompt may call, and only once, after confirmation.
* Do not call `teamwork-update-time-entry`, `teamwork-complete-task` or `teamwork-update-task`. If the user wants the task marked done too, tell them to ask for that separately.
* If the create call fails, report the error as returned and do not retry with changed values.

**Validation:**

* When the project or task matches nothing, say so and stop. Do not log time against the project without a task unless the user asks for that.
* When verification cannot find the entry, say so. Do not create a second one.

Who it's for

One answer, three teams that use it

Consultants

Log time the way you would say it

Give a rough duration and a task name in plain words and the entry lands on the right task without clicking through menus.

Log 45 minutes to the API testing task on the Fabrikam app project, for reviewing test results.

Designers and developers

Keep your timesheet current between tasks

Record time as you finish each piece of work, with a check that you have not already logged it today.

Put 2 hours on the Northwind Traders logo design task for today's concept work.

Project managers

Keep project budgets accurate

Time lands on the right task once, so the hours used against your budget are the hours actually worked.

Log 3h to the client workshop task on the Contoso discovery project for running the session.

How it works

What PopdockAI does when you ask

You say what you worked on and for how long, and your AI assistant finds the task and checks for a duplicate. Nothing is logged until you confirm.

01

Ask

You give the project, task, time spent and an optional description.

Your AI tool

02
