The problem
One gift that is surprisingly hard to find in the ledger
When a donor asks whether a gift arrived, or an auditor picks one to test, someone has to search Sage Intacct for a matching receipt, payment or entry. Batch deposits and mismatched check numbers make one gift hard to find.
Without PopdockAI
- Look up the gift and its GL code
- Search Intacct by check number
- Scan ledger rows around the date
- Guess whether a batch deposit includes it
With PopdockAI
- The gift and donor are read, soft credits and pledges explained
- The GL code is mapped to its Sage Intacct account
- Check reference, ledger amount and receipts are searched
- Hits graded confirmed or possible, read-only

**Objective:** Trace DonorPerfect gift {gift-id} into Sage Intacct and report every place it appears, searching {date-window-days} days either side of the gift date (default 5).
**Step 1: Read the gift in DonorPerfect**
Call `donorperfect-get-gift` with `gift-id` {gift-id}. If nothing comes back, say the gift does not exist and stop. Note `amount`, `gift-date`, `gl-code`, `gift-type`, `reference` (often the check number), `record-type`, `pledge-payment` and `donor-id`. Call `donorperfect-get-donor` with that `donor-id` for the donor's name or organization name.
* If `record-type` is S (a soft credit), say it carries no money, so there is nothing to trace, and stop.
* If `record-type` is P (a pledge), say it is a commitment rather than cash: it appears in Intacct only if the organization books pledges, so search as below but expect no receipt.
**Step 2: Find the Intacct account**
Call `donorperfect-get-code` with `field-name` GL_CODE and `code` set to the GL code (if that returns nothing, call it with `code` alone and use the row from the GL code list). Its `account-number` is DonorPerfect's own mapping of that GL code to the accounting system. Confirm the account with `intacct-get-account` filtered by `account-number`. If `account-number` is blank, try the GL code itself as the Intacct account number. If neither exists in Intacct, say the GL code is not mapped and run Step 3 without the account filter.
**Step 3: Search Intacct around the gift date**
Search in this order and stop at the first confirmed match:
1. If the gift has a `reference`, call `intacct-get-ar-payment` with `document-or-check-number` set to it.
2. Call `intacct-get-general-ledger-detail` with `account-number`, `entry-date.from` and `entry-date.to` spanning the window, and `amount.min` and `amount.max` both set to the gift amount. Rows repeat once per reporting method, so filter `reporting-method` to one method (accrual unless the user says otherwise). If you are unsure of the exact value, call once without it, read the values the rows carry, then filter. If this returns nothing, repeat without the amount filters and look for the amount in `credit-amount` yourself.
3. Call `intacct-get-other-receipt` with `transaction-date.from` and `transaction-date.to` spanning the window and `total-base-amount.min` and `total-base-amount.max` set to the amount. For each hit, call `intacct-get-other-receipt-line` with its `record-number` as `receipt-record-number` to see which account it credited.
A match is Confirmed when the amount agrees and the payer, customer name, memo or document number matches the donor's name or the gift's reference. It is Possible when only the amount agrees.
If nothing matches, the organization may deposit gifts in batches. List the rows from step 2 (without amount filters) that are larger than the gift, as possible batches that could contain it.
**Step 4: Report**
A gift summary (id, donor, date, amount, GL code, reference, record type) and the mapped Intacct account. Then each Intacct match: the tool it came from, date, amount, document or transaction number, account, payer, and Confirmed or Possible. If nothing matched, say the gift is recorded in DonorPerfect but was not found in Intacct in the window, and suggest widening the window.
**Rules & Guidelines:**
* Tools whose names start with donorperfect- are on the donorperfect server; tools whose names start with intacct- are on the intacct server. If either set is missing from your tool list, stop and say which server is not connected.
* This prompt is read-only. Do not call `donorperfect-save-gift`, `intacct-create-journal-entry` or any other save, create or update tool on either server.
* Pass dates to both servers as YYYY-MM-DD.
**Validation:**
* If more than one Confirmed match appears, list them all and say which one is most likely and why; do not pick one silently.
* The two systems may store amounts at different precision: treat a difference of a cent or less as equal.
* Never report a Possible match as Confirmed.Who it's for

How it works
What PopdockAI does when you ask
You give a gift id and your AI assistant traces it into Sage Intacct around the gift date. It only reads and never reports a possible match as confirmed.
01
Ask
You give a DonorPerfect gift id and a window, 5 days by default.
02
Read
It reads the gift and donor and maps the GL code to its Sage Intacct account.
03
Search
It searches by check reference, ledger amount and receipts around the date.
04
Report
Each hit is graded confirmed or possible, with batch deposits suggested if nothing matches.
