The problem

Where an order stands spans two systems

When someone asks where a WooCommerce order stands, the answer spans the store and Dynamics 365 Business Central: entered, invoiced, paid, refunded and credited. Tracing it means searching several document types and comparing lines yourself.

Without PopdockAI

  • Read the order and refunds in WooCommerce
  • Search Business Central orders, invoices and credit memos
  • Compare lines by SKU by hand
  • Piece together an answer

With PopdockAI

  • The order, lines and refunds are read
  • Every Business Central document with the order number is found
  • Lines are compared by SKU and quantity
  • A one-line verdict is given, duplicates flagged, and nothing edited

Prompt
**Objective:** Trace WooCommerce order {order-number} from the web store into Business Central and report where it stands in each system. Use Business Central company {company} (if blank, leave `company` off and let the tools use their default company).

**Step 1: Read the order in WooCommerce**

Call `woocommerce-get-order` with `order-number` set to {order-number}. If nothing comes back, report that the order does not exist in WooCommerce and stop. Note its order-id, status, created-date, paid-date, customer-email, currency, total, shipping-total and discount-total.

Then call `woocommerce-get-order-line` with the same `order-number` to get each line's line-sku, line-quantity and line-total, and `woocommerce-get-refund` with the same `order-number` to get any refunds.

**Step 2: Find the order in Business Central**

Web orders are entered in Business Central with the WooCommerce order number as the external document number. Call each of these with `external-document-number` set to {order-number}:

* `business-central-get-sales-transaction` for open sales orders and unposted invoices or credit memos.
* `business-central-get-posted-sales-invoice` for posted invoices.
* `business-central-get-posted-sales-credit-memo` for posted credit memos.

If all three return nothing, report the order as present in WooCommerce and absent from Business Central, skip to Step 4, and say so in the report.

**Step 3: Compare lines and payment**

If there is a posted invoice, call `business-central-get-posted-sales-invoice-line` with its invoice-number. Otherwise call `business-central-get-sales-transaction-line` with the open document's document-number. Match each Business Central line's number to a WooCommerce line-sku and compare quantities.

For a posted invoice, read its remaining-amount: zero means paid in full. If it is above zero, call `business-central-get-detailed-customer-ledger` with `document-number` set to the invoice-number to show what has been applied so far.

**Step 4: Report**

* **WooCommerce:** order number, status, created and paid dates, customer email, total with currency, refunds (count and total).
* **Business Central:** each document found (type, number, status, customer number, total including tax), and for a posted invoice its remaining amount.
* **Lines:** a table of SKU, WooCommerce quantity, Business Central quantity and a Match / Differs / Missing column.
* **Verdict:** one line: in sync, not yet in Business Central, amounts differ, or refunded online but not credited in Business Central.

**Rules & Guidelines:**

* Tools whose names start with woocommerce- are on the woocommerce server; tools whose names start with business-central- are on the business-central server.
* This prompt is read-only. Do not call `woocommerce-update-order`, `woocommerce-add-order-note`, `woocommerce-add-refund`, `business-central-create-sales-order`, `business-central-create-sales-invoice` or `business-central-create-sales-credit-memo`.

**Validation:**

* Business Central totals exclude or include tax by field name; compare the WooCommerce total with total-amount-including-tax, and treat differences under 0.01 as a match.
* If the currencies differ between the systems, report both amounts and do not call them a mismatch.
* If more than one Business Central document of the same type carries this external document number, list them all and flag the order as possibly entered twice.
