The problem

Drifting accounting data in Ramp miscodes spend and breaks syncs

The GL accounts, fields, tax rates and vendors Ramp uses to code spend drift over time. Inactive accounts stay required, vendors never sync and duplicates creep in, and finding them means opening each set one at a time.

Without PopdockAI

  • Open GL accounts, fields and tax rates one set at a time
  • Check which accounting vendors never synced
  • Look for duplicate names by eye
  • Find the problem when a sync fails at month end

With PopdockAI

  • Six accounting sets read in one pass
  • Inactive but required entries, unsynced vendors and tax rate problems flagged
  • Duplicates and signs of two accounting connections called out
  • Empty sets reported as empty, and nothing changed

Prompt
**Objective:** Audit the accounting data Ramp uses for coding spend, optionally only entries whose name contains `{name}`.

**Step 1: Pull the sets**

Call each with `name.contains` when a name was given: `ramp-get-accounting-gl-account`, `ramp-get-accounting-vendor`, `ramp-get-accounting-field`, `ramp-get-accounting-tax-rate`, `ramp-get-accounting-tax-code-option`, `ramp-get-accounting-inventory-item-option`.

**Step 2: Look for**

* Inactive GL accounts or fields that are still required for a spend type (the required-for value).
* Accounting vendors not synced, or with no category.
* Tax rates with no GL account, or a rate that looks like a percentage typo.
* Duplicate names within one set.
* Entries from more than one provider name, which suggests two connections.

**Step 3: Report**

A section per set with counts (total, active, inactive) and the flagged entries, then a prioritised fix list.

**Rules & Guidelines:**

* Read only. Never call any `ramp-accounting-*-update`, `-delete`, `-add`, `-upload` or `ramp-accounting-connection-*` tool.

**Validation:**

* If a set is empty, say so rather than treating it as clean.

Who it's for

One answer, three teams that use it

Finance systems admins

Find sync blockers before close

Unsynced vendors and inactive required accounts are listed so you can fix them ahead of month end.

Audit our Ramp accounting setup and list anything that could make a sync fail.

Accounting managers

Stop spend being coded to the wrong place

Duplicate names and tax rates with no GL account are flagged before they cause miscoding.

Check our Ramp tax rates and GL accounts for duplicates or missing mappings.

Data analysts

Get a clean count of each accounting set

Counts and flagged entries per set give you a quick read on data quality.

Audit Ramp accounting entries with Travel in the name and give me counts per set.
