Add Ramp vendor with agreement
Add Contoso Packaging to Ramp as a vendor. Country is Canada, contact is billing@contosopackaging.com, and we have a one year agreement ending 30 June 2027.
No similar vendor exists in Ramp, so this will be a new record. - Vendor: Contoso Packaging, Canada - Contact: billing@contosopackaging.com - Agreement: ends 30 June 2027 - Still needed: start date, total value, auto-renewal and notification choices Can you send those four items so I can confirm and create it?

The problem

New Ramp vendors get created twice and agreements go missing

Setting up a Ramp vendor by hand means searching under both the trading and legal name to avoid a duplicate. Then someone has to remember the agreement, and its dates, value and renewal terms get typed differently each time.

Without PopdockAI

  • Search Ramp vendors by trading name
  • Search again by legal name
  • Remember whether an agreement belongs on file
  • Type agreement terms differently every time

With PopdockAI

  • Similar vendors checked by name and legal name first
  • A stop on a match unless you say it is a different vendor
  • Vendor and agreement details shown before you confirm
  • New ids reported, bank details never touched

The prompt

Prompt
**Objective:** Add `{vendor-name}` (country `{country}`, contact `{contact-email}`) to Ramp as a vendor and, if an end date `{agreement-end-date}` is given, record an agreement.

**Step 1: Duplicate check**

Call `ramp-get-vendor` with `name.contains` set to the vendor name, and again with `legal-name.contains`. If anything similar exists, show it and stop unless the user says it is a different vendor.

**Step 2: Confirm**

Show the details to be created. An agreement also needs a start date, total value, auto-renewal and notification choices. Ask for any of these that are missing. Ask the user to confirm.

**Step 3: Create**

Call `ramp-vendor-add`. Re-read with `ramp-get-vendor` to get the new id. Only if an agreement was requested and confirmed, call `ramp-vendor-agreement-add` with that vendor id.

**Step 4: Report**

The vendor id, the agreement id if any, and anything left to do (bank account, contact details).

**Rules & Guidelines:**

* Allowed writes: `ramp-vendor-add` and `ramp-vendor-agreement-add`, once each, after confirmation.
* Never call `ramp-vendor-delete` or `ramp-vendor-update-bank-accounts`. Bank details are entered by the user in Ramp.

**Validation:**

* If the contact email looks invalid, stop and ask.

Who it's for

One answer, three teams that use it

Procurement

Add a vendor and its contract together

The agreement goes on file with the vendor, so renewal dates and value are not lost.

Add Fabrikam Cleaning to Ramp, US, contact ap@fabrikamclean.com, with a contract ending 31 March 2027.

Accounts payable

Stop the same company appearing twice

Ramp is checked by name and legal name before anything is created.

Add Northwind Logistics Ltd to Ramp, but check first that it is not already there under another name.

Finance operations

Keep agreement terms consistent

Every agreement captures the same dates and value, so reporting on renewals stays reliable.

Create Contoso Software in Ramp, Canada, billing@contososoftware.com, with a 12 month agreement from 1 January 2027.

How it works

Your AI tool

02

Check

It searches Ramp vendors by name and legal name and stops if something similar exists.

ramp-get-vendor
