The problem

Hand-posted Ramp transactions end up booked twice in Intacct

Posting a Ramp card transaction into Intacct by hand means checking whether it was already booked, confirming the GL account is open and keying the entry. Miss a step and the ledger carries a double posting or a failed entry.

Without PopdockAI

  • Look up the transaction in Ramp
  • Search Intacct for an existing entry
  • Check the GL account is still open
  • Key the charge card entry and unwind mistakes later

With PopdockAI

  • The Ramp transaction read, with a stop if missing or declined
  • Intacct checked for the same payee, date and amount
  • The GL account confirmed as active
  • One write after you confirm, then read back

Prompt
**Objective:** Record Ramp card transaction `{transaction-id}` in Intacct as a charge card transaction posted to GL account `{gl-account}`, only after confirmation.

**Step 1: Read the Ramp transaction**

Call `ramp-get-transaction` (Ramp server) with `id` set to `{transaction-id}`. Keep merchant-name, amount, currency-code, transaction-time and state. If it is not found, or its state is declined, stop.

**Step 2: Check for an existing Intacct entry**

Call `intacct-get-charge-card-transaction` (Intacct server) with `transaction-date.from` and `transaction-date.to` set to the transaction date, and `payee.contains` set to the merchant. If an entry has the same amount, report it and stop.

**Step 3: Validate the account**

Call `intacct-get-account` (Intacct server) with `account-number` set to `{gl-account}`. It must exist and be active. Call `intacct-get-charge-card-account` and ask the user which charge card account id to use if more than one is returned.

**Step 4: Confirm**

Show payee, amount, currency, payment date, charge card id and GL account. Ask for an explicit yes. Do nothing until the user says yes.

**Step 5: Create and verify**

After a yes, call `intacct-create-charge-card-transaction` (Intacct server) once with amount, charge-card-id, gl-account, payee, payment-date and a description naming the Ramp transaction id. Then re-read with `intacct-get-charge-card-transaction` and report the stored record.

**Rules & Guidelines:**

* `intacct-create-charge-card-transaction` is the only write tool allowed, and only after the yes. Do not call `intacct-update-charge-card-transaction` or any Ramp write tool.

**Validation:**

* If amounts or currencies are ambiguous, stop and ask.
* If the create fails, report the error and do not retry.

Who it's for

One answer, three teams that use it

Accountants

Post card spend without double entries

Intacct is checked for an existing entry before the charge card transaction is created.

Book Ramp transaction txn_5521 in Intacct to GL account 6300.

Accounts payable

Book one-off transactions fast

Post a single Ramp transaction from one message and see the stored record afterwards.

Post the Ramp charge for Contoso Hotels on 12 October to Intacct account 6250.

Controllers

Keep postings on open accounts

Entries only go to GL accounts that exist and are active, so nothing fails at close.

Book Ramp transaction txn_9013 in Intacct, but check account 6400 is active first.

How it works

What PopdockAI does when you ask

You give a Ramp transaction and a GL account and your AI assistant checks Intacct before posting. Nothing is written until you say yes, and a failed write is never retried.

01

Read

It pulls the Ramp transaction and stops if it is missing or declined.

Your AI tool

02

Check

It looks for an existing Intacct entry and confirms the GL account is active.
