The problem
Donor prep means stitching together several screens
Before speaking to a donor you want their contacts, giving, soft credits, recent conversations and open follow-ups. In Bloomerang that means several screens, and a bad email or a refunded gift is easy to overlook.
Without PopdockAI
- Find the constituent and check contact details
- Open giving history and soft credits
- Read interactions and notes
- Miss a refund or an open task
With PopdockAI
- The record is found, asking which when several match
- Contacts are checked for bad or missing primaries
- Giving, refunds, payment methods and soft credits are summarised
- Interactions, notes and open tasks lead to a next step, nothing is changed
The prompt
Use this prompt
Copy it into any AI tool connected to PopdockAI. Swap the values in braces for your own.
**Objective:** Build a complete picture of the constituent matching `{constituent-name}`, covering contact details, giving and engagement over the last `{lookback-months}` months (default 24).
**Step 1: Resolve the constituent**
Call `bloomerang-get-constituent` with `full-name.contains` set to `{constituent-name}`. If more than one record comes back, list each one with its full name, primary email, account number and id, then stop and ask which is meant. If nothing comes back, retry once using only the surname. If still nothing, say so and stop.
Keep the id from the matched record. Every call after this uses that value as `account-id`.
**Step 2: Contact details**
Call `bloomerang-get-address`, `bloomerang-get-phone` and `bloomerang-get-email-address`, each filtered by `account-id`.
* flag any email or address marked bad
* flag any of the three where no primary record exists
**Step 3: Giving**
Call `bloomerang-get-transaction` with `account-id` and `date.from` set to the start of the lookback window. From the results work out total given, number of gifts, largest gift, most recent gift date, and the payment methods used. Note any transaction marked refunded.
Call `bloomerang-get-soft-credit` with the same `account-id` to catch gifts this constituent influenced but did not pay.
**Step 4: Engagement**
Call `bloomerang-get-interaction` and `bloomerang-get-note`, each with `account-id` and `date.from`. Call `bloomerang-get-task` with `account-id` to find anything still outstanding.
**Step 5: Report**
Produce, in this order:
* a header line with full name, account number, type, status and engagement score
* a contact block listing primary email, primary phone and primary address, with any data problems called out
* a giving summary: total, gift count, largest gift, first and most recent gift dates in the window
* a table of the ten most recent gifts: date, amount, method, fund or designation if known
* the five most recent interactions and notes, most recent first, one line each
* any open task, with its due date and owner
* a short closing paragraph on where this relationship stands and what the next contact should be
**Rules and Guidelines:**
* This prompt is read only. Do not call `bloomerang-add-interaction`, `bloomerang-add-note`, `bloomerang-add-task`, `bloomerang-update-constituent`, or any other tool whose name starts with bloomerang-add- or bloomerang-update-.
* Do not estimate lifetime giving. Report only what the lookback window returned, and say what the window was.
* Transaction records carry an account-id but designation records do not, so do not claim which campaign a specific gift went to unless a designation record's transaction-id matches a transaction id you actually retrieved.
**Validation:**
* If the constituent resolves but has no transactions, say so plainly rather than reporting a total of zero as if it were a calculated figure.
* If `{constituent-name}` is a single common surname, expect several matches and ask before continuing.Who it's for
