The problem

Booking Stripe fees means totalling thousands of transactions

Each month someone has to total Stripe processing fees and book them in Sage Intacct as a journal entry. The fees are spread across thousands of balance transactions, and without a check it is easy to book a month twice or post to the wrong account.

Without PopdockAI

  • Export Stripe balance transactions for the month
  • Total fees per currency and type
  • Check the accounts accept journal entries
  • Book the same month twice by mistake

With PopdockAI

  • Fees are totalled per currency and by type
  • The accounts you choose are checked as active and open to entries
  • Existing entries for the month are looked for first
  • You approve the balanced entry, then it is created once

Prompt
**Objective:** Total the Stripe fees for the month {month} (YYYY-MM) and, if they are not already in Sage Intacct, record them as one journal entry once the user approves it. Debit the fee expense account {fee-account} and credit the Stripe clearing or bank account {clearing-account}, in the journal {journal} (if blank, GJ). If either account is blank, Step 2 resolves it.

**Step 1: Total the fees in Stripe**

Call `stripe-get-balance-transaction` with `created.from` set to the first day of the month, `created.to` set to the last day, and `max-records` 5000. Sum `fee` for each currency. A row whose `type` is stripe_fee may carry its cost in `amount`, as a negative number, with `fee` at zero; add the size of that amount as well. Report the number of transactions and the fee total for each `type`. If exactly 5000 rows come back, total each half of the month separately.

**Step 2: Resolve the accounts**

For any account not given, call `intacct-get-account` with `title.contains` set to Stripe, then to fee, then to merchant, and ask the user to choose from what comes back. Never pick an account yourself. Confirm each chosen account with `intacct-get-account` and `account-number`: it must exist, be active, and not have `disallow-direct-posting` set.

**Step 3: Check it is not already booked**

* Call `intacct-get-journal-entry` with `reference-number` set to STRIPE-FEES-{month}. If an entry comes back, report it and stop.
* Call `intacct-get-general-ledger-detail` with `account-number` set to the fee account, and `entry-date.from` and `entry-date.to` covering the month. Rows repeat per reporting method, so count each `transaction-number` once. If there are entries that mention Stripe, or entries that total the Stripe fees, show them and ask the user whether to continue.

**Step 4: Propose, then wait**

Show the entry you intend to create:

* the journal, the title "Stripe fees {month}" and the reference STRIPE-FEES-{month}
* the posting date: the last day of the month, written MM/DD/YYYY
* the debit (fee account and amount) and the credit (clearing account and the same amount), rounded to 2 decimals
* the Stripe fee total and transaction count it came from
* saved as a draft, unless the user asks for it to be posted

Ask the user to approve, change or cancel, and stop until they answer.

**Step 5: Create and confirm**

Call `intacct-create-journal-entry` once with `journal`, `title`, `reference-number`, `posting-date`, `debit-account`, `debit-amount`, `credit-account`, `credit-amount`, `debit-memo` and `credit-memo` (both "Stripe fees {month}"), and `state` as approved. If it fails asking for a location or a department, ask the user for `debit-location` and `credit-location` (or `debit-department` and `credit-department`) and try once more.

Then call `intacct-get-journal-entry` with `reference-number` set to STRIPE-FEES-{month}, then `intacct-get-journal-entry-line` with its `transaction-number`, and report the entry and its two lines.

**Rules & Guidelines:**

* Tools named stripe-... are on the stripe server and only read. Tools named intacct-... are on the intacct server. Both servers must be connected. If a tool from one of them is unavailable, say which server is not connected and stop.
* The only write is `intacct-create-journal-entry`, called once, after approval. Do not call `intacct-update-journal-entry`, `intacct-create-account` or any other Intacct create or update tool.
* The debit and credit amounts must be equal.
* Pass `company` to Intacct tools only when the user names an Intacct company.

**Validation:**

* If the month is not a valid YYYY-MM value, ask for one and stop.
* If the Stripe fees total zero, say so and stop.
* If the fees are in more than one currency, show each total and ask which to book. `intacct-create-journal-entry` takes a single amount with no currency.
* Stripe dates are YYYY-MM-DD; the Intacct posting date must be MM/DD/YYYY.
