The problem
Refunds that never reduced receivables
Refunds, credit notes and lost disputes in Stripe all reduce what customers owe, but each has to be recorded in Sage Intacct by hand. The ones that slip through leave receivables overstated, and tracing them back to invoices takes ages.
Without PopdockAI
- List refunds, credit notes and lost disputes
- Find the invoice behind each one
- Search Intacct AR adjustments and the ledger
- Count a refund twice when it sits behind a credit note
With PopdockAI
- Credit notes, refunds and lost disputes are read, each counted once
- The invoice behind each is found
- AR adjustments are matched by invoice and amount, then customer and date
- Missing items are reported by type, and nothing is changed

**Objective:** Check that money Stripe returned to customers between {date-from} and {date-to} (if blank, today), through credit notes, refunds and lost disputes, has a matching AR adjustment or ledger entry in Sage Intacct, and report what is missing.
**Step 1: Read what Stripe gave back**
* `stripe-get-credit-note` with `created.from`, `created.to` and `status` issued
* `stripe-get-refund` with `created-date.from` and `created-date.to`; keep those whose `status` is succeeded
* `stripe-get-dispute` with `created-date.from` and `created-date.to`; keep those whose `status` is lost
A credit note that refunded money carries a `refund-id`. Count that refund once, under the credit note.
**Step 2: Find the invoice number behind each item**
* a credit note: call `stripe-get-invoice` with its `invoice-id` and take the `number`
* a refund or a dispute: call `stripe-get-charge` with its `charge-id`; if the charge has an `invoice-id`, call `stripe-get-invoice` with it and take the `number`
If this needs more than 50 lookups, do the 50 largest items by amount, and say that the rest were matched without an invoice number.
**Step 3: Read the Intacct adjustments**
Call `intacct-get-ar-adjustment` with `adjustment-date.from` set to the start date and `adjustment-date.to` 7 days after the end date.
**Step 4: Match**
1. The Intacct `reference-invoice-number` equals the Stripe invoice `number`, and the Intacct `total-amount` equals the Stripe amount, ignoring sign.
2. Otherwise, the same customer name, the same amount ignoring sign, and an `adjustment-date` within 7 days. Label these **inferred**.
3. For anything still unmatched, call `intacct-get-general-ledger-detail` with `entry-date.from` and `entry-date.to` 7 days either side of the Stripe date, and `amount.min` and `amount.max` both set to the amount, in case it was booked as a journal entry. Rows repeat per reporting method, so count each `transaction-number` once.
**Step 5: Report**
* **Missing from Intacct:** type (credit note, refund or lost dispute), Stripe ID, customer, amount, currency, date, invoice number
* **Matched:** Stripe ID, Intacct `adjustment-number` or `transaction-number`, and how it matched
End with the count and total for each type, matched against missing.
**Rules & Guidelines:**
* Tools named stripe-... are on the stripe server; tools named intacct-... are on the intacct server. Both servers must be connected. If a tool from one of them is unavailable, say which server is not connected and stop.
* Read only. Do not call `intacct-create-journal-entry`, `intacct-update-customer` or any other Intacct create or update tool.
* An open dispute is not money lost yet. Include only disputes whose `status` is lost.
* Pass `company` to Intacct tools only when the user names an Intacct company.
**Validation:**
* If Stripe has no credit notes, refunds or lost disputes in the window, say so and stop.
* Never match amounts in different currencies. Compare currency codes ignoring case.
* If the Stripe amounts are consistently 100 times the Intacct amounts, divide the Stripe amounts by 100, say that you did, and continue.Who it's for
