The problem

Customers chased for invoices they already paid

When invoices live in both Stripe and Sage Intacct, a payment collected in Stripe may never be applied in Intacct, leaving a customer chased for money already paid. Finding those cases means matching invoices by number, amount and date across two exports.

Without PopdockAI

  • Export invoices from Stripe and Sage Intacct
  • Match them by number, amount and date
  • Compare paid and due status by hand
  • Send statements to customers who already paid

With PopdockAI

  • Invoices are matched by invoice or reference number first
  • Customer, amount and date matches are labelled inferred
  • Paid in Stripe but due in Intacct comes first
  • One-sided invoices are listed, currencies never mixed, read-only

Prompt
**Objective:** Compare invoices dated between {date-from} and {date-to} (if blank, today) in Stripe and Sage Intacct, and report payments collected in one system but not recorded in the other, amount differences, and invoices that exist on only one side. Customer filter: {customer} (if blank, all customers).

**Step 1: Read the Stripe invoices**

If a customer filter was given, resolve it first with `stripe-get-customer` (`email` if it contains an @, otherwise `name.contains`) and use its `customer-id`. If it matches more than one customer, list them and stop. Then call `stripe-get-invoice` with `created-date.from`, `created-date.to`, `max-records` 500, and the `customer-id` if you have one. Leave out invoices whose `status` is draft or void.

**Step 2: Read the Intacct invoices**

Call `intacct-get-invoice` with `invoice-date.from` 3 days before the start date, `invoice-date.to` 3 days after the end date, `max-records` 1000, and `customer-name.contains` set to the customer's name if a customer filter was given. The wider window catches invoices entered a day or two late.

**Step 3: Match**

1. Stripe `number` equals Intacct `invoice-number`.
2. Otherwise, Stripe `number` equals Intacct `reference-number`.
3. If not a single invoice matched by number, the two systems do not share invoice numbers. Match instead on the customer name, the amount (Stripe `total` against Intacct `total-amount`) and a date within 3 days, and label every such match **inferred**.

Never match invoices in different currencies.

**Step 4: Compare each matched pair**

* Stripe `status` paid, but Intacct `total-due` above zero: collected in Stripe, not applied in Intacct. List these first.
* Intacct `total-due` zero, but Stripe `status` open.
* Stripe `status` uncollectible while Intacct still shows an amount due.
* Stripe `total` differs from Intacct `total-amount`, or Stripe `amount-remaining` differs from Intacct `total-due`, by more than 0.01.

**Step 5: Report**

One table per finding, in the order above. Each row shows the invoice number, the customer, the Stripe `status`, `total` and `amount-remaining`, the Intacct `state`, `total-amount` and `total-due`, and whether the match was by number or inferred. Then:

* **In Stripe only:** Stripe invoices with no Intacct invoice
* **In Intacct only:** only for customers that also appear in the Stripe results, since Intacct also holds invoices never billed through Stripe

End with a count per table and the total amount of the first table.

**Rules & Guidelines:**

* Tools named stripe-... are on the stripe server; tools named intacct-... are on the intacct server. Both servers must be connected. If a tool from one of them is unavailable, say which server is not connected and stop.
* Read only. Do not call `intacct-create-order-entry-document`, `intacct-update-order-entry-document`, `intacct-create-journal-entry` or any other Intacct create or update tool.
* The Stripe `customer-id` (cus_...) is not an Intacct customer ID. Never pass it to an Intacct filter.
* Pass `company` to Intacct tools only when the user names an Intacct company.

**Validation:**

* If either system returns no invoices for the window, say which one and stop.
* If either list comes back at its `max-records` cap, say the results are incomplete and suggest a shorter date range.
* If the Stripe amounts are consistently 100 times the Intacct amounts, Stripe is returning the smallest currency unit. Divide by 100, say that you did, and continue.
